Projected Revenue Report

To view the Projected Revenue Report, click the App Drawer button then click View All > Reports > Sales > Projected Revenue.

The Projected Revenue Report is a sales report that displays the expected revenue for your business from auto-renewals and auto-payments during the selected date range. This report includes the following sources of revenue:

  • Scheduled membership payments

  • Cancellation fees for scheduled membership cancellations

  • Auto-renewal payments

  • Auto-payments

  • Payment plan

  • Services with future billing dates which have been modified during the point of sale

  • Purchase Options sold individually

  • Purchase Options sold as part of a package

  • Purchase Options set to automatically convert

Key tips

  • If a Purchase Option has a duration longer than one month, only payments scheduled to take place before the Purchase Option’s auto-renewal date will be displayed in the report.

  • Auto-renewal payments with a $0 value that occurred in the past won’t appear in the Projected Revenue Report.

Description

Total Transactions

The total number of transactions expected at your business during the selected date range.

Total Amount

The total amount that is projected to be charged during the selected date range.

Headings in the Projected Revenue Report

Heading

Description

Date

The scheduled date of the payment.

Client

The client who is expected to make the payment. Relevant details about this client, such as pass status, waiver status, contract status, special notes, unpaid visits, and account balance will be noted here by small icons. Hover over any icon to learn more.

Item

The name of the item that will result in revenue.

When a payment is made toward an item or account balance, such as a payment plan, deposit, or account payment, the type of payment made is listed in this column.

Each payment that includes a surcharge will include the surcharge as a separate entry.

Click the name of the purchase to view more payment details on the client’s Passes & Memberships page.

Location

The location to which the revenue from the payment will be assigned.

Payment Status

The status of the payment transaction. Statuses include:

  • Failed – The payment was unsuccessful. You can view the reason the transaction failed under the Decline Reason column.

  • Full Refund – The payment is a full refund of a prior transaction. The Purchase ID and Transaction ID should match the prior transaction.

  • Fully Refunded – The payment was successful but has been fully refunded.

  • On Hold (Continue Billing) – The Purchase Option related to the payment has been placed on hold and is configured with the Continue Billing hold rule (scheduled payments continue to be processed while the membership is on hold). For more information, see Membership hold rules.

  • Partial Refund – The payment is a partial refund of a prior transaction. The Purchase ID and Transaction ID should match the prior transaction.

  • Partially Refunded – The payment was successful but has been partially refunded.

  • Scheduled (Auto-payment) – A scheduled payment that isn’t a conversion, installment, or renewal.

  • Scheduled (Conversion) – The scheduled payment for a Purchase Option that is set to convert upon expiry.

  • Scheduled (Installment) – The scheduled payment for a payment plan.

  • Scheduled (Renewal) – The scheduled payment for a Purchase Option set to automatically renew.

  • Successful – The payment was successfully processed.

  • Voided – The payment was successfully canceled before the batch closed. For more information, see Transaction batches and refunds.

  • Void – The amount owed for a voided payment was returned to the client.

  • Waiting for Settlement – The payment is being processed and will take up to 14 business days to settle.

Amount

The total amount of the payment, including taxes and discounts.

Payment Method

The payment method that will be used to make the payment.

Revenue Category

Any revenue categories selected for the item. If no revenue category was selected, this column will appear empty.

When the item listed represents a payment toward another item, such as a payment plan or deposit, the revenue category associated with the originally purchased item is listed.

Decline Reason

The reason the payment failed.

Action

To refund a payment, click the Action button and select Refund. This button only appears for payments that have the Successful payment status.

Locations

Use this filter to determine which locations to include in the report.

Asset Purchase Options

Use this filter to determine which Asset Purchase Options to include in the report. Asset Purchase Options are Purchase Options with the Asset Purchase Option Service Category selected.

Class & Events Purchase Options

Use this filter to determine which class/event Purchase Options to include in the report. Class/event Purchase Options are Purchase Options with Class/Events selected as the Purchase Option Service Category. For more information, see Creating or modifying a membership or Creating or modifying a session pass.

Revenue Categories

Use this filter to determine which sales to include in the report based on the revenue categories they are classified under.

Client Groups

Use this filter to determine which clients to include in the report based on their client group.

Account Purchase Options

Use this filter to determine which Account Purchase Options to include in the report.

Appointments Purchase Options

Use this filter to determine which appointment Purchase Options to include in the report. For more information, see Creating or modifying a membership or Creating or modifying a session pass.

Gym Purchase Options

Use this filter to determine which gym Purchase Options to include in the report. For more information, see Creating or modifying a membership or Creating or modifying a session pass.

Package Purchase Options

Use this filter to determine which packages to include in the report.

Payment Method

Use this filter to determine which sales to include in the report based on the payment methods used.

Payment Status

Use this filter to determine which payments to include in the report based on the status of the payment.
