Manage Book-a-Spot asset layouts

You can add or edit a Book-a-Spot asset layout for any asset category. This layout visually represents the space for a class, appointment, or event—like showing exercise bike positions so clients can pick their spot in advance.

When a client books a service that requires them to book an asset, they can choose a specific asset from the layout rather than from a list. Staff members can view the asset layout and change a client’s assigned asset from the attendance list.

Note: If you save an empty layout or a layout with shapes but no assets, the associated assets will be displayed in list view during the booking process.

Create a Book-a-Spot asset layout

To create a Book-a-Spot asset layout, follow these steps:

  1. Click the App Drawer button then click View All > Setup > Book-a-Spot.

  2. Click Asset Layout next to the category you want to create a layout for.

  3. Under Selected Asset Border, select the border color for each asset.

  4. Set the Display Title option to ON or OFF to display or hide the asset’s name.

  5. Set the Display Number option to ON or OFF to display or hide the numerical designation of the asset, such as exercise bike 5.

  6. Set the Snap to Grid option to ON to restrict asset placement to a grid format. Set the option to OFF to allow assets to be placed freely.

    • If Snap to Grid is set to ON, specify the size of the grid under Grid Spacing. This represents the number of rows and columns.

  7. Under Assets, drag and drop each desired asset into the layout section of the page.

  8. Click the Shapes tab and scroll down to the Icons section to drag and drop additional objects into the layout page. You can use these shapes to represent the layout of the room, such as the location of fans in the room.

    • If an image is uploaded or a shape is used for the asset, the image or shape can be used on the asset layout instead of an icon.

  9. Click Save & Exit.

Change a client's assigned asset

To change a client’s assigned asset from the attendance list, follow these steps:

  1. Click the App Drawer button then click View All > Schedule.

  2. In the Schedule:

    • If you are using Calendar View, click the class or event.

    • If you are using List View, in the Service column, click the name of the class or event.

  3. In the class or event window, click View Attendance List.

  4. In the Assets column, click the Edit button Imagenext to the client.

  5. In the list, click the asset to replace. Changes are saved automatically.
