Manage tasks in the task manager

The task manager organizes short-term and long-term tasks for staff members. You can follow the progress of each task to ensure assigned tasks are completed.

Key tips

  • You can set up email, SMS, and/or push notifications so that staff members are notified when a new task is created and assigned to them.

  • To see the staff filter in Task Manager, a staff role must have All Clients and All Reports permissions. If either is set to Only My Clients or Only My Reports, the filter won’t appear.

Open the task manager and view tasks

To open the task manager and view tasks:

  1. Open the App Drawer then click View All > Tasks.

  2. On the Task Manager page:

    • Tasks are automatically sorted with the earliest due date appearing first. Click the Due Date column to switch between ascending and descending order based on the due date.

    • Use the Search option to filter your tasks by a keyword or client name.

    • Filter your tasks by selecting from the following options:

      • Due Today – Tasks due on the current day. The Due Today tab is selected by default.

      • Incomplete – Tasks marked Not Started or In Progress.

      • Completed – Tasks marked as Completed.

      • All – Every task created, including Due Today, Incomplete, and Completed.

    • Click Advanced filters to apply one or more of the following filters.

      • Date Range – Tasks due within a selected range of dates.

      • Staff – Check the box next to the name of the staff member(s) whose tasks you’d like to view.

      • Task Status – Check the box next to the status of the task(s) that you’d like to view. Options include Select All, Not Started, In Progress, and Completed.

Add a task

To add a task:

  1. Open the App Drawer then click View All > Tasks.

  2. On the Task Manager page, click Add Task.

  3. On the Add task page, under Client, select the client associated with the task.

    • Creating a task without selecting a client will create a walk-in client for the task.

  4. Under Task title, enter a title for the task.

  5. Under Assign to, assign a staff member to the task.

  6. Under Due date, select a due date for the task.

  7. Under Time, specify when the task should be completed.

  8. Under Description, add any information about the task.

  9. Click Save. The task will be saved and assigned. If this task is linked to a client, the task details will show up in their profile and as an icon on the attendance lists for events and classes.

Change a task's status

To change a task’s status:

  1. Open the App Drawer then click View All > Tasks.

  2. On the Task Manager page, find the task you want to modify.

  3. In the Status column, click the task’s status and select either Not Started, In Progress, or Completed.

Modify a task

To modify a task:

  1. Open the App Drawer then click View All > Tasks.

  2. Click the Edit button next to the task you want to modify.

  3. On the Edit [task name] page, make your changes to the task.

  4. Click Save.

Delete a task

To delete a task:

  1. Open the App Drawer then click View All > Tasks.

  2. Click the Edit button next to the task you want to delete.

  3. On the Edit [task name] page, click Delete at the bottom of the screen.

  4. In the confirmation popup, click Delete.

Manage staff notifications for tasks

To manage staff notifications for tasks:

  1. Open the App Drawer then click View All > Setup > Notifications > Staff Notifications.

  2. Under Tasks, mange the staff notifications you want to send:

    • To turn email notifications for task assignments on or off, click the Email button. If the icon is blue the notification is activated. If it’s grey the notification is deactivated and won’t be sent.

    • To turn SMS notifications for task assignments on or off, click the SMS button. If the icon is blue the notification is activated. If it’s grey the notification is deactivated and won’t be sent.

    • To turn push notifications for task assignments on or off, click the SMS button. If the button is blue the notification is activated. If i's grey the notification is deactivated and won’t be sent.

    • To edit the content that is sent when a notification is activated, click the Edit  button and customize the notification.
