Each staff member has a variety of settings that can be set or modified from their profile.

To access a staff member’s profile, click the App Drawer button then click View All > Setup > Staff > Staff Members and click a staff member to view their profile.

Review the tables in this article for information about the settings available on each tab of a staff member’s profile page.

General

Setting

First name

The staff member’s first name.

Last name

The staff member’s last name.

Email

The staff member’s email address.

Note: An error occurs if you try to change the email of a staff member that has a profile with the same email at another WellnessLiving business. To change the email, you must add a new staff member with the desired email address and then deactivate the staff profile with the old email address.

Allow staff member to sign in

This option is available when the client login for the staff member’s associated client profile has been disabled.

When this option is set to ON, the staff member can set up staff credentials (email and password) to sign in to WellnessLiving

Current password

The password the staff member uses with their email address to sign in to WellnessLiving.

If your staff members have the Manage staff profiles and Manage client profiles staff role permissions, they can click Reset Password to send an email to the staff member to reset their password.

Role

The staff member’s staff role.

This option is crucial as it determines the permissions assigned to the staff member within WellnessLiving.

Location

A list of all the locations set up for your business.

Each location the staff member works at will appear selected in the list. For more information, see Setting a staff member’s locations.

Home location

The location where the staff member works primarily. When logging in to WellnessLiving, the staff member will be automatically logged in to this location.

Job title

The staff member’s job title. For example:

  • Owner

  • Fitness specialist

  • Trainer

Note: The job title isn’t the same as a staff role and doesn’t have any effect on the staff member’s WellnessLiving account permissions.

Gender

The staff member’s gender. Contact WellnessLiving to make a gender-neutral option available for your staff members and clients.

Cell phone

The staff member’s mobile phone number.

Home phone

The staff member’s home telephone number.

Address

The staff member’s home address.

City

The city in which the staff member lives.

ZIP / Postal code

The staff member’s ZIP or postal code.

Biography

The staff member’s biography. This information is displayed publicly wherever the staff member is listed.

Employment start date

The day on which the staff member started their employment with your business.

The Currently employed option should be set to ON if the staff member is currently employed at your business.

Display on Explorer listing

If this option is set to ON, the staff member and their information is displayed publicly on your WellnessLiving Explorer listing.

Alternatively, you can choose whether to display a staff member’s profile on your WellnessLiving Explorer listing from the Staff Members page:

  • To hide a staff member’s profile, click the Action button [img] next to the staff member and click Hide from Explorer listing.

  • To display a staff member’s profile, click the Action button [img] next to the staff member and click Display on Explorer listing.

Add custom field

Custom fields can be added to or removed from staff member profiles to record specific information.

Custom fields can’t be viewed by staff members unless the staff role to which they’re assigned has the Manage staff profiles option enabled. The following options are available for each custom field:

  • Field Name – The name of the custom field.

  • Field Type – Determines the type of information recorded for the custom field. Your choices are:

    • Checkbox – A checkbox that can be selected or cleared. The Default Value can be Not Checked or Checked.

    • Dropdown menu – A list of multiple options from which one can be selected. Enter the name of each option next to Menu item. Add more options by clicking the Add button.

    • Radio – A list of multiple options from which one option can be selected. Enter the name of each option next to Menu item. Add more options by clicking the Add button.

    • Text – A box where you can enter text. The Default Value can contain any text you choose. The number of Rows determines the size of the box.

      • Setting the Display on visit receipt option to ON will add the custom text field to visit receipts, along with the name of the staff member who performed the service. This can be used to display regulatory information on a visit receipt, such as a massage therapist’s license number.

Services

The types of services provided by the staff member. Your choices are Classes, Events, and Appointments.

If you set Appointments to ON, there are additional appointment-specific options:

  • Under Daily appointment capacity, you can specify daily limits for appointment bookings for the staff member.

    • When a staff member with a daily appointment capacity reaches their limit, an At capacity badge will be displayed to other staff members booking appointments, and clients will be unable to book appointments with that staff member on that day.

  • Under Appointment types, you must select all the appointments that the staff member can provide.

Working hours

The staff member’s available or unavailable working hours can be set to determine when the staff member can be booked for services.

Note: A staff member must be assigned to at least one location before you can set their working hours.

Pay rates

Pay rates allow you to use WellnessLiving to track how much the staff member earns when they sell items in the store, take part in offering a service, or are simply paid by the hour. For more information, see Setting a staff member’s pay rates.

Override default notification settings

When selected, this option allows you to modify the staff member’s individual notification settings.

Calendar sync

Display the client’s address on the synced event

If this option is set to ON, the client’s address will be displayed on your Google or Outlook Calendar event.

Note: To display the client’s address in your calendar event, you must first connect your Google or Outlook calendar to your WellnessLiving account. For more information, see Connecting a staff member’s Google Calendar and Connecting a staff member’s Outlook Calendar.
