Manage your schedule

The Staff Back Office and Elevate Staff App allow staff members to view scheduled services (such as classes, appointments, events, and Book-a-Spot assets) on the schedule. Each schedule has a variety of settings and filters that allow you to customize how it displays services and what services are displayed. You can also save the filters you create for future use.

Settings for the appearance and behavior of your Staff Back Office schedule can be set from the Look and Feel menu. For more information, see Customizing the look and feel of WellnessLiving.

Key tips before you begin

  • In Calendar view, only staff members with scheduled services will be displayed.

  • You can only view the available or unavailable time of your staff members in Calendar view, and the view must be changed to either Day view or Week view with the schedule filtered for a single staff member.

  • In day view, the maximum number of columns displayed depends on your screen resolution – if your screen resolution is high, more columns are displayed. If there are too many staff members to display on the schedule at once, you can use the arrow button to scroll through the list of staff members.

    • To change the minimum column width in day view so that more staff members can be displayed on the schedule at once, contact WellnessLiving Support.

  • Any changes made to the schedule view are maintained for five minutes after the changes are applied even if the user signs out of the system. After five minutes, the schedule will be loaded using the default schedule view. To reuse a filter view, you must save it.

  • Customizations made to the appearance of the schedule using the Appointment display style setting are only displayed when viewing the schedule in the day and week calendar views. For more information, see Customizing the look and feel of WellnessLiving.

Desktop – Staff Back Office

View a date on the schedule

To view a date on the schedule using the Staff Back Office, complete the following:

  1. Tap the App Drawer button then click View All > Schedule.

  2. At the top-right of the schedule, select the number of days you want to view. Your choices are Day, Week, or Month.

  3. Click the dates at the top of the schedule, then use the calendar to view your desired date.

    • Use the arrows to view the previous or next group of dates.

    • Click Today to view the current date.

Change viewing mode on the schedule

Note: List view can’t be used with the Month date view.

To change the viewing mode on the schedule using the Staff Back Office, complete the following:

  1. Tap the App Drawer button then click View All > Schedule.

  2. At the top-right of the schedule, select either Calendar or List view.

Apply a filter to the schedule

To apply a filter to the schedule using the Staff Back Office, complete the following:

  1. Tap the App Drawer button then click View All > Schedule.

  2. Apply a filter to the schedule:

    • To apply a saved filter, on the filter sidebar under My views, click the filter you want to apply to the schedule.

    • To apply a new filter, on the filter sidebar under Filter options, select the items that you want to appear on the schedule.

      • To save this filter, click Save as new view, then enter a name for the filter.

        1. To make the filter available to all staff members, set the Make view public option to ON.

        2. If you want this filter to be applied whenever a staff member opens the schedule, set the Set as default view option to ON.

        3. Click Save.

Modify or delete a saved filter

To modify or delete a saved filter on the schedule using the Staff Back Office, complete the following:

  1. Tap the App Drawer button then click View All > Schedule.

  2. On the filter sidebar under My views, hover over the filter you want to modify or delete, then select the desired option:

    • To change the name and settings of the filter, click the Edit button, update your selections, and click Save.

    • To update the options of the filters, select the filter, then make your new selections under Filter options. Click the Update button, then click OK.

    • To set a filter as the default view or remove a filter as the default view, click the Favorite button. The current default view will appear with a filled Favorite button.

    • To delete a filter, click the Delete button, then click OK.

Customize the schedule

Note: The schedule displays services that are scheduled outside of a location’s business hours regardless of whether the Only display business hours option is set to ON.

To customize the schedule using the Staff Back Office, complete the following:

  1. Click the App Drawer button then click > View All > Schedule.

  2. Click the Schedule settings button and make your customizations to the schedule:

    • To customize the columns displayed on the schedule in list view, click Customize. On the Customize Schedule page, select which columns will be displayed on the schedule:

      • To add a column, click the column name in the Available field.

      • To remove a column, click the column name in the Selected field.

    • Under View canceled sessions, select whether to display canceled sessions:

      • To display canceled classes and events, set View canceled classes/events to ON.

      • To display all canceled appointments, set View all canceled appointments to ON.

      • To only display canceled appointments that were booked as single appointments, or recurring appointments where only some appointments in the series are canceled, set View canceled single appointments to ON.

      • To only display canceled recurring appointments, where the entire series of appointments is canceled, set View canceled recurring appointments to ON.

    • Under Time Interval, select the length of each time interval on the schedule. You have the following options: 10 mins, 15 mins, and 30 mins.

    • By default, the schedule only displays the hours your business is open. To display all hours, set the Only display business hours option to OFF.

    • To allow staff members to reschedule and/or change the assigned staff member for a service by dragging and dropping the service, set the Enable drag and drop option to ON.

      • If this setting is changed after a staff member has already saved a custom view of the schedule, the staff member must save their schedule view again for the change to apply.

    • Under Cell Size, select which the size you want the cells appear in Calendar view.

  3. Click the Settings filter button to close the menu. Your settings are saved automatically and will be applied to the schedule going forward.

View a date on the schedule

To view a date on the schedule using the Elevate Staff App, complete the following:

  1. Tap the Schedule tab.

  2. Find the date you want:

    • Slide the date bar until the date you want is displayed.

    • Swipe down on the date bar to reveal the monthly calendar, then swipe up or down until the date you want is displayed.

    • To return to the current date, on the bottom left corner, tap Today.

Change viewing mode on the schedule

To change the viewing mode the schedule using the Elevate Staff App, complete the following:

  1. Tap the Schedule tab.

  2. Tap the Action button

  3. Select the viewing mode you want:

    • List – Displays the calendar in list view.

    • Calendar – Displays the calendar in calendar view. When using the calendar view, you can select how you want to view bookings on the schedule:

      • Asset – View your asset bookings.

      • Location – View all bookings for the location you are signed in to.

      • Staff – View all bookings sorted by different staff members.

Apply a filter to the schedule

To apply a filter to the schedule using the Elevate Staff App, complete the following:

  1. Tap the Schedule tab.

  2. Tap the Action button

  3. Tap Customize.

  4. Apply a filter to the schedule.

    • To apply a saved filter, under Saved views, tap the filter you want to apply to the schedule. The most recently saved view is automatically applied to the schedule.

    • To apply a new filter, under Filters, select the items that you want to appear on the schedule.

    • To save a new filter:

      1. Tap Save new view.

      2. Under View name, enter a name for the filter.

      3. If you want to make the filter available to all staff members, set the Make view public option to ON.

      4. If you want this filter to be applied whenever a staff member opens the schedule, set the Set as default view option to ON.

      5. Tap Save.

  5. Tap Apply.

Modify or delete a saved filter

To modify or delete a filter on the schedule using the Elevate Staff App, complete the following:

  1. Tap the Schedule tab.

  2. Tap the Action button

  3. Tap Customize.

  4. Under Saved views, tap the filter you want to modify or delete.

    • To modify a saved filter:

      1. Under View name, enter a name for the filter.

      2. If you want to make the filter available to all staff members, set the Make view public option to ON.

      3. If you want this filter to be applied whenever a staff member opens the schedule, set the Set as default view option to ON.

      4. Tap Save.

    • To delete a saved filter:

      1. Tap the Delete button

      2. In the confirmation popup, tap Delete.

Refresh the schedule

To refresh the schedule using the Elevate Staff App, complete the following:

  1. Tap the Schedule tab.

  2. Tap the Action button

  3. Tap Refresh.
