This article describes the filter options available when managing your schedule.

Understanding filter options on the schedule

Filter

Description

Locations

Determines which locations appear on the schedule. When selected, this filter shows the staff member's available hours for the chosen locations.

In-Person/Virtual

Determines whether in-person services, virtual services, or both appear on the schedule.

Staff Availability

Displays staff members that are available to be booked for a specific service.

Select whether you want to display Available staff members or staff members booked in Scheduled services.

Staff

Determines which staff members to display on the schedule.

Inactive staff still show in the schedule filters until all their services, whether active or cancelled, are in the past.

  • Select Only Offering Services to display staff members assigned to services or Only Available to only display staff members available for booking.

  • You can rearrange the order staff members appears on the schedule.

Service Types

Determines which service types to display on the schedule.

Appointments

Determines which appointment types to display on the schedule.

Appointment Status

Determines which appointments appear on the schedule based on their statuses. Filter options include:

  • All statuses – Selects all appointment status options.

  • Booked – Displays appointments that are scheduled but not occurred.

  • Checked-in – Displays appointments that clients checked in to.

  • Early cancel – Displays appointments clients cancelled within the allowed cancellation window.

  • Late cancel – Displays appointments clients canceled after the allowed cancellation window.

  • No show – Displays appointments clients missed but weren't canceled.

  • Status pending – Displays past appointments with no updated attendance statuses.

  • Pending confirmation – Displays appointment requests waiting for staff confirmation.

To view canceled appointments on the schedule, set the Show all canceled appointments option to ON. For more information, see Schedule Design: Content settings in Customizing the look and feel of WellnessLiving.

Classes

Determines which class types appear on the schedule.

Events

Determines which events appear on the schedule.

Assets

Determines which assets appear on the schedule.

Understanding the schedule filter summary

Heading

Description

Total Sessions

The total number of sessions that are currently displayed on the schedule.

Clients Booked

The number of booked clients that are on the schedule, excluding those marked as No Show or Late Cancel.

Clients on Wait List

The number of clients on the waitlist for scheduled services.

Total Capacity

The number of available spots for all sessions on the schedule.

Capacity Utilization

The number of filled spots for all sessions on the schedule, displayed as a percentage by dividing booked spots by the total capacity of the scheduled service(s).

Average clients per day

The average number of clients attendance based on the services displayed on the schedule.

This value is visible when the schedule is in Week or Month view.
