Email variables

Email variables can be used in your automated notifications and automated marketing campaigns to add customized details to your message. Some are included by default and others can be added manually. All variables are enclosed within square brackets to distinguish them from regular text.

For example, in the introduction of the Purchase Receipt email notification, the variables [Fullname], [Purchase], [Date], and [PayMethod] are included by default. The template will replace each of these variables with real information when the notification is generated, creating a customized email message.

Key tips before we begin

  • An email variable won’t load properly if any additional text, HTML, CSS, or JavaScript code is placed inside of the square brackets of the variable.

  • If you want to change the styling of a variable, such as making the text bold, italic, or underlined, you must select the entire variable including the square brackets before applying your changes in the text editor.

  • When you send a test email, some of your email variables will populate with placeholder information. For example, the [PasswordMessage] variable populates as 0123456789.

Variables applicable to all email types

The following table provides a complete list of variables that you can use in all email types.

Adds Apple Store and Google Play Store download link buttons for the Achieve Client App.

[BusinessPhone]

The phone number of the business that you entered in your General Information.

[ButtonClientWebApp]

Adds a button that links to your Client Web App. Uses the Client Web App URL set in Business URLs.

[ClientWebAppURL]

Adds your Client Web App URL as set in Business URLs.

[CurrentdateLong]

The date in the following long format: May 15th, 2015.

[CurrentdateShort]

The date in the following condensed format: 2015/05/15.

[Currentday]

The day of the week the email is sent on. For example, Monday.

[Firstname]

The first name of the individual to whom the email is addressed.

[Fullname]

The first and last name of the individual to whom the email is addressed.

[Lastname]

The last name of the individual to whom the email is addressed.

[Logo]

The logo for your business set on the Look and Feel page.

[Signature]

The business email signature, as input under Setup > Business > E-Mail Settings.

[Unsubscribe]

A link that clients can click to unsubscribe from your business’s notifications.

Variables applicable to specific email types

The following table provides a complete list of email variables you can use in specific email types.

The date on which the item was activated.

[AccountBalance]

The client’s account balance at the time the notification was sent.

[Add]

The date the new review was added.

[AddOn]

Generates a list of add-ons purchased for an appointment. Used in appointment notifications.

[Address]

The address of the location at which the sale happens.

[Advertisement]

The advertisement message as configured under Setup > Store > Gift Card.

[AdvertisementSection]

The advertisement message, as configured under Setup > Store > Gift Card, displayed in a box.

[Amount]

The amount of the payment that was attempted.

[AmountSection]

The amount of the payment that was attempted, displayed in a box.

[AnniversaryYear]

The number of years the customer has been a member of the business.

[Asset]

The asset that is reserved for the client associated with the service.

[Balance]

The number of rewards points the client has remaining on their profile after redeeming points for a prize.

[Barcode]

The barcode of the gift card.

[BillingTab]

Generates a link to the billing tab of the client’s profile.

[Business]

The business’s identifying number.

[BusinessAddress]

The main address for the business.

[BusinessCity]

The city that the business’s main address is within.

[BusinessCountry]

The country that the business’s main address is within.

[BusinessEmail]

The business's name, as input under Setup > Business > Email Settings.

[BusinessId]

The business’s ID number.

[BusinessName]

The name of the business, as input under Setup > Business > General Information.

[BusinessPostal]

The postal code for the business’s main address.

[BusinessRegion]

The state or province that the business’s main address is located in.

[BusinessUrl]

The main URL for the business.

[ButtonApprove]

A button that staff members can click to approve an appointment.

[ButtonBook]

A button that clients can click to book a service.

[ButtonCancel]

Generates a button that clients can click to cancel the service.

  • If you have the business policy Require clients to sign in when they are canceling or confirming a session set to ON for your entire business, clients will be required to sign in to their account with your business when they click this button.

  • If you have this option enabled for a specific service type, clients will be required to sign in to their account with your business when they click this button in emails relating to that type of service.

[ButtonChangePassword]

A button that clients can click to change their password.

[ButtonConfirm]

Generates a button that clients can click to confirm the service.

  • If you have the business policy Require clients to sign in when they are canceling or confirming a session set to ON for your entire business, clients will be required to sign in to their account with your business when they click this button.

  • If you have this option enabled for a specific service type, clients will be required to sign in to their account with your business when they click this button in emails relating to that type of service.

[ButtonDeny]

A button that staff members can click to deny an appointment.

[ButtonEdit]

A button that staff members can click to modify an appointment.

[ButtonPay]

Generates a button that clients can click to make a payment.

[ButtonPrint]

Generates a button that clients can click to print their receipt.

[ButtonRespondCustomer]

Generates a button that redirects the customer to respond to customer review.

[ButtonReviewEdit]

Generates a button that links to a page where clients can write a review for the business.

[ButtonUnsubscribe]

A button that clients can click to unsubscribe from your business’s notifications.

[ButtonView]

Generates a button that links to a review response page.

[Cancel]

The amount of time before the service the client can be canceled without incurring penalties.

[CanceldateLong]

The date a client can cancel by without incurring fees, in the following long format: May 15th, 2015.

[CanceldateShort]

The date a client can cancel by without incurring fees, in the following condensed format: 2015/05/15.

[CanceledBy]

The name of the client or staff member who canceled the service.

[CancelMetric]

The unit of time in which a service can be canceled.

[CancelReason]

The reason entered by the staff member when canceling an appointment booking.

This variable can be used in the Appointment Canceled By Staff and Recurrent Appointment Canceled by Staff client notifications.

[CancelTime]

The time before which the client can cancel the service without incurring penalties.

Note: If Allow clients to adjust time zone is enabled in your business policies, the time-based variables in your client notifications will include a time zone abbreviation. For example, CST – Central Standard Time.

[CardImage]

The image chosen for the gift card.

[CardLastDigits]

The last four digits of the client’s credit card on file. Used to identify the card when it is used to make a purchase or is expiring soon.

[CardNo]

The gift card’s redemption number.

[Change]

A list of the changes made to the service.

[ChangePassword]

A link that clients can click to change their password.

[ClassPeriod]

The details about the day’s class.

[ClientAddress]

The client’s home address.

[ClientCity]

The client’s city.

[ClientCountry]

The client’s country.

[ClientMail]

The client’s email address.

[ClientName]

The client’s first and last name. This variable can be used in staff notifications.

[ClientPhone]

The client’s phone number.

[ClientPostal]

The client’s postal code.

[ClientRegion]

The client’s region.

[Contract]

The name of the associated Purchase Option for which the contract is signed. For more information, see Contracts.

[Coupon]

The gift card code.

[CouponName]

The gift card name.

[Current]

The current stock level of the product

[Date]

The date on which the payment was attempted.

[DateAdded]

The date and time when the product was purchased.

[DateAgree]

The date the contract or online waiver was agreed upon and signed by the client.

[DateDay]

The date of the service in the following format: Thursday, May 15, 2015.

[DateDaySms]

The date of the service in the following format: Jan 14.

[DateFrom]

The start date for the invoice period related to a purchase made by the client.

[DateInvoice]

The date the invoice was sent to the client.

[DateTime]

The time of the service in the following format: 10:00 – 11:00 a.m.

Note: If Allow clients to adjust time zone is enabled in your business policies, the time-based variables in your client notifications will include a time zone abbreviation. For example, CST – Central Standard Time.

[DateTimeSms]

The time of the service in the following format: 11:00 a.m.

Note: If Allow clients to adjust time zone is enabled in your business policies, the time-based variables in your client notifications will include a time zone abbreviation. For example, CST – Central Standard Time.

[Delay]

The number of days, months, or years since the client last booked or checked in.

[Description]

The description of the service.

[Due]

The due date of an assigned task.

[Duration]

The duration of the service.

[DurationDelay]

The time units (days, months, or years) for the [Delay] variable.

[End]

The expiration date of the session pass or membership.

[Enrollment]

The event name for the specific event referred to in the email.

[FormButton]

Generates a button that clients can click to fill in the form.

[FormName]

The name of the form for the service that the client scheduled.

[FormURL]

Generates a link that clients can click to fill in the form.

[FutureAppointment]

A list of the upcoming instances of the appointment that the client has booked.

[GiftCardMessage]

Displays the message that the purchaser left for the gift card recipient.

[GiftCardMessageBox]

The content in the [GiftCardMessage] variable, displayed in a box.

HoldDuration]

The duration of the hold period in days.

[HoldEnd]

The end date of the hold period in the following format: July 23, 2023.

[HoldReason]

The reason for the hold period provided by the staff member who placed the hold.

[HoldRemaining]

The number of days remaining in the hold period as of the current date.

[HoldStart]

The start date of the hold period in the following format: July 23, 2023.

[LeadInformation]

The information submitted by a prospective client on the Lead Capture Widget.

Note: If you add a custom client field to your Lead Capture Widget, the field will appear on the widget. However, the information entered in the field by a prospective client won’t be included in the [LeadInformation] email variable when the New Lead notification is sent to a staff member.

[Location]

The name of the specific location referred to in the email.

[LocationAddress]

The street address of the specific location referred to in the email.

[LocationCity]

The city of the specific location referred to in the email.

[LocationCountry]

The country that the specific location referred to in the email is within.

[LocationMail]

The email of the specific location referred to in the email.

[LocationPostalcode]

The postal or ZIP code of the specific location referred to in the email.

[LocationPhone]

The phone number of the specific location referred to in the email.

[LocationRegion]

The state or province of the specific location referred to in the email.

[LocationWebsite]

The website URL of the specific location referred to in the email.

[Login]

The WellnessLiving login for the individual to whom the email is addressed.

[Logo]

The logo for your business set in Setup > Look and Feel > Staff Back Office.

[Mail]

The email address of the email recipient.

[MailNew]

The client’s changed email.

[Membership]

The name of the membership.

[Message]

In the welcome email notification, use this variable to display a message that is populated based on the method the client used to sign up with WellnessLiving.

In the automatic payment failed notification, use this variable to indicate an error message that was received when payment was attempted.

[Name]

The first name of the client to whom the email is addressed. This variable can be used in client notifications and automated marketing.

[NextPaymentAmount]

The amount of the next scheduled payment for the pass or membership that was placed on hold.

[NextPaymentDate]

The date of the next scheduled payment for the pass or membership that was placed on hold.

[PayAccount]

The list of payment accounts used to pay for a purchase.

[PayMethod]

The list of payment methods used to pay for a purchase.

[Photo]

The review’s image.

[Phone]

Business phone number, or the phone number of the specific location where the purchase was made.

[Product]

The name of the product.

[PrintButton]

The button the customer can use to print the electronic gift card directly from the email.

[ProfileTransaction]

Generates a link that a staff member can click to access the Transactions page of the client. For more information, see Viewing a client’s Transactions page.

[Promotion]

The name for the specific Purchase Option referred to in the email.

[PromoteTime]

The time frame before the service session in which a client can be promoted from the wait list. This entry is based on your wait list business policies.

[PublishDate]

Used exclusively in Class Announcements. Generates the date and time when the class will be made available for online booking by clients.

If the Publish Date isn’t set for the class schedule, this will appear blank in the Class Announcement.

[Purchase]

Order number for the purchased service.

[PurchaseAddress]

The name of the specific location referred to in the email.

[PurchaseItem]

A table that displays the following information about the sale:

  • A list of all the items purchased, including costs, quantities, and any discounts that were applied.

  • A summary for all items purchased, including subtotal and purchase total.

    • If applicable, total discount, tax, tip, and surcharges are also displayed.

[PurchaseItemTitle]

The name of the item purchased.

[PurchaseOption]

The name of the pass or membership that was placed on hold.

[Questions]

The questions that are set up to be asked to clients when booking the service.

[Rate]

The rating received in the review.

[ReceiptNotes]

The custom note that appears in your email sales receipts where additional information about the transaction can be added.

This variable is linked to the custom note you add to the sales receipt during checkout. For more information, see Adding custom text or notes to your sales receipt.

[ReceiverMail]

The email address of the individual the email is addressed to.

[ReceiverName]

The name of the individual the email is addressed to.

[RecordedSessionButton]

A button that clients can click to view a video of the recorded session.

[RecordedSessionUrl]

A link that clients can click to view a video of the recorded session.

[Renewal]

The date on which the item was renewed.

[Reply]

A text block containing the review response.

[Reorder]

The re-order amount.

[ResponseDate]

The date that the form response was submitted.

[ResponseTime]

The time of day that the form response was submitted.

[RestAfter]

The client’s total account balance as of the start date for the invoice period.

[RestBefore]

The client’s total account balance due as of the date the invoice was issued.

[ReviewEdit]

Generates a link to the write review page.

[ReviewRate]

The rating received in the review as asterisks.

[Room]

The room that the service will be in.

[Schedule]

The up-to-date schedule information.

[ScheduleDetails]

The changes made to the service with respect to the client’s updated schedule.

This is used in the Class Schedule Details Have Changed and Class Schedule Staff Substitution staff notifications.

[Sender]

The name of the sender.

[ServiceName]

The name of the service.

[SessionList]

A list of the client’s booked sessions.

[SessionPush]

The information of the enrolled service(s), including the name of the service, the day, date, time, and duration of the enrolled service(s), and the name of the staff member with whom the service is scheduled.

This is only available for push notifications.

[SessionSms]

The information of the enrolled service(s), including the name of the service, the day, date, time, and duration of the enrolled service(s), and the name of the staff member with whom the service is scheduled.

This is only available for SMS messages.

[SessionWait]

The information of the waitlisted service(s), including the name of the service, the day, date, time, and duration of the waitlisted service(s), and the name of the staff member with whom the service is scheduled.

This is only available for push notifications.

[SessionWaitSms]

The information of the waitlisted service(s), including the name of the service, the day, date, time, and duration of the waitlisted service(s), and the name of the staff member with whom the service is scheduled.

This is only available for SMS messages.

[ShopProduct]

The product name.

[Special]

Special instructions for the service.

[Staff]

The name of the staff member with whom the service is booked.

[StaffFullname]

The first and last name of the staff the email is pertaining to.

[StatementTable]

A list of the client’s transactions over the past 60 days.

[Start]

The start date for the Purchase Option.

[Subject]

The subject line of the email.

[Text]

The review’s text.

[Time]

The time that the session starts.

[Title]

The title of the task that is assigned to a staff member via the task manager. For more information, see Task manager.

[TransactionNumber]

The identifying number of the transaction.

[TransactionRefund]

The total refunded amount.

[TransactionTotal]

The total amount of the original transaction.

[Type]

The type of Purchase Option.

[UnpublishDate]

Used exclusively in Class Announcements. Generates the date and time when the class will be made unavailable for online booking by clients.

If the Unpublish Date isn’t set for the class schedule, this will appear blank in the Class Announcement.

[UrlApprove]

Generates a link that clients can click to approve a request.

[UrlBook]

A link that clients can click to access the booking page of the service. This is used in the Class Announcement and Event Announcement marketing campaigns.

[UrlCancel]

Generates a link that clients can click to cancel the service.

[UrlConfirm]

Generates a link that clients can click to confirm the service.

[UrlDeny]

Generates a link that clients can click to deny a request.

[UrlEdit]

Generates a link that clients can click to reschedule a request.

[UrlProfile]

Generates a link that clients can click to access the profile of the reviewer.

The client’s address.

The real username of the individual the email is addressed to.

[View]

Generates a link to a review response page.

[ViewProfile]

A button that a potential client can click to view their profile.

[VirtualServiceButton]

Generates a button that clients can click to join the non-integrated virtual service.

[VirtualServiceUrl]

Generates a link that clients can click to join the non-integrated virtual service.

[Visit]

The previously attended service.

[WeekDay]

The day of the week when the service takes place.

[WidgetName]

The name of the Lead Capture Widget.
