Purchase rules for services

Purchase rules allow you to specify how and when clients pay for your services. The tables below outline the purchase rules you may choose from when creating or modifying appointments, classes, events, and Book-a-Spot assets.

Note: If your business doesn’t have merchant processing set up, some purchase rules won’t be accessible.

Appointment purchase rules

Purchase Rule

Description

Client must purchase online at the time of booking

Select this option to require the client to pay for this appointment right away when they book online.

This option is only available if your business has set up merchant processing.

Clients can only pay when they visit. Online payment is not available.

Select this option to make online payment options unavailable and require clients to pay when they visit your location.

Online Payment is optional. Client will pay for the service when they visit.

Select this option to give the client the choice to pay in-person or online.

Client must authorize a credit card at the time of booking.

Select this option to require clients who select a drop-in rate to book the appointment to have their credit card authorized by their credit card issuer before it can be used to pay.

Notes

  • A $1.00 hold will be applied to the credit card, which will be removed later.

  • Credit card authorization isn’t required when clients purchase an applicable Purchase Option at the time of booking.

  • If this option is enabled, clients with credit cards saved to their profile will have their drop-ins booked as unpaid. You must reconcile the appointment from the schedule.

  • If you choose this option, we recommend disabling QUICK buy products for this appointment under Advanced Settings. If you enable QUICK buy products, new clients who sign up when booking this appointment may not be prompted to authorize a credit card.

Client must leave a deposit at the time of booking.

Select this option to require a deposit from the client when they book the appointment, then pay the remaining amount when they attend. You can choose a flat amount or a percentage.

Display applicable Purchase Options during booking

Select this option to show Purchase Options that can be used to pay for the appointment when clients are booking it.

Hide applicable Purchase Options from clients

Select this option to hide Purchase Options that can be used to pay for the appointment from clients when booking this appointment. Clients will be required to pay the price per session when they book this appointment.

Hide applicable Purchase Options from clients and staff members

Select this option to hide Purchase Options that can be used to pay for the appointment from staff members and clients when booking this appointment. Clients will be required to pay the price per session when they book this appointment.

Class purchase rules

Purchase Rule

Description

Sell individual sessions

Select this option to allow clients to purchase one-time sessions of this class. Clients will be able to purchase a class without a pass or membership. You can enter the cost of each class in the COST PER SESSION box.

Note: Single session Purchase Options for classes can only be shared with a related client or transferred to another client from the shopping cart at the time of purchase.

Do not sell individual sessions. Must be paid using Purchase Options

Select this option to require clients to use a Purchase Option to book this class.

If a class is priced at $0, clients will need to purchase the required Purchase Option to book this class and the booked session will be counted as a visit on their Purchase Option.

Client must purchase online at the time of booking

Select this option to require the client to pay for this class right away when they book online.

This option is only available if your business has set up merchant processing.

Clients can only pay when they visit. Online payment is not available

Select this option to disable online payments and require clients to pay for this class in-person at your location.

Clients can pay online or pay when they visit

Select this option to allow the client to choose whether to pay for this class in person or online.

This option is only available if your business has set up merchant processing.

Select this option to show Purchase Options that can be used to pay for the class when clients are booking it.

Hide applicable Purchase Options from clients

Select this option to hide Purchase Options that can be used to pay for the class from clients when booking.

Clients will be required to pay the price per session when they book this class.

Hide applicable Purchase Options from clients and staff members

Select this option to hide Purchase Options that can be used to pay for the class from staff members and clients when booking this class.

Clients will be required to pay the price per session when they book this class.

Show individual session price during booking to clients with applicable Purchase Options

Select this option to display the cost per session for the class in the Client Portal and Achieve Client App to clients who have an applicable Purchase Option for the class.

This option is only visible if the Sell individual sessions option is selected.

Hide individual session price during booking from clients with applicable Purchase Options

Select this option to hide the cost per session for the class in the Client Portal and Achieve Client App even if the client has an applicable Purchase Option for the class.

This option is only visible if the Sell individual sessions option is selected.

Event purchase rules

Description

Client must purchase online at the time of booking

Select this option to require the client to pay for this event right away when they book online.

This option is only available if your business has set up merchant processing.

Clients can only pay when they visit. Online payment is not available

Select this option to disable online payments and require clients to pay for this event in-person at your location.

Clients can pay online or pay when they visit

Select this option to allow the client to choose whether to pay for this event in person or online.

This option is only available if your business has set up merchant processing.

Client must leave a deposit at the time of booking

Select this option to require the client to pay a deposit when they book the event, then pay the remaining amount when they attend. You can choose a flat amount or a percentage.

Note: If you select this option, then clients will be unable to use any payment plans you set up.

Clients are automatically enrolled in all sessions when purchasing

Select this option to require clients to book all sessions of the event.

Notes

  • This purchase rule can’t be used on events that have the Clients can book individual sessions purchase rule enabled to avoid scheduling conflicts.

  • Booked clients must cancel all their sessions for clients on the wait list to be automatically promoted, but clients can still be manually promoted from the wait list by a staff member.

Clients can book individual sessions

Select this option to allow the clients to book sessions of this event separately from one another. Clients will be able to choose the parts of the event they want to attend or enroll into all event instances at the time of booking.

To allow clients to use a Purchase Option to pay for an event, you must select this option, then select Allow clients to book with drop-in rates or Purchase Options or Allow clients to book with Purchase Options only.

Clients are enrolled in all sessions, but staff can book individual sessions

Select this option to enable your clients to book all sessions of the event online and allow your staff members to determine which sessions of the event the client can enroll into and attend.

Note: If this option is selected, clicking MULTIPLE SESSIONS when adding a client to an attendance list for an ongoing event will book the client into all previous sessions of the event instance. To prevent this, you must click SELECTED SESSION and individually book each session that the client wants to attend.

Allow clients to book with drop-in rates or Purchase Options

Select this option to allow clients to pay for only the sessions that they want to attend in the store, or use applicable Purchase Options. You can set the cost per session in the labeled field.

This option isn’t available if you select Clients are automatically enrolled in all sessions when purchasing.

Allow clients to book the entire event at once with a drop-in rate or Purchase Options

Select this option to allow clients to purchase this event and its instances or use applicable Purchase Options to pay for the event booking.

This purchase rule is automatically selected when Clients are automatically enrolled in all sessions when purchasing is selected.

Note: When associating a session pass with an event, the number of visits in the session pass must be equal to or greater than the number of sessions scheduled for the event. Otherwise, the session pass won’t appear when the client is booking the event.

Allow clients to book with Purchase Options only

Select this option to require that clients use an applicable Purchase Option to purchase the entire event or event instances.

When this option is selected, your event won’t have an individual price and will be affected in the following ways:

  • Early bird discounts won’t be applied.

  • The session price won’t be displayed when a client is booking the event.

  • The direct checkout URL won’t be available.

Clients must pre-register before the start of the event

Select this option to require clients to register for the event before the event’s start date. If you select this option, your clients won’t be able to register if the event is in progress.

This option is only available when you select Clients are automatically enrolled in all sessions when purchasing or Clients are enrolled in all sessions, but staff can book individual sessions.

Clients can enroll into an event that is in progress and pay prorated amount

Select this option to allow the clients to register for an event that’s already in progress and pay for any upcoming event instances on a prorated basis.

This option is only available when you select Clients are automatically enrolled in all sessions when purchasing or Clients are enrolled in all sessions, but staff can book individual sessions.

For example, if an event consists of four instances priced at $25 each and is scheduled to start on December 1, and a client is enrolled into the event on December 2, the client will only be required to pay $75 for the three remaining instances.

Clients can enroll into an event that is in progress and pay full price

Select this option to allow the clients to register for an event that is already in progress and pay for all event instances, irrespective of any past instances that have occurred before the client was enrolled.

This option is only available when you select Clients are automatically enrolled in all sessions when purchasing or Clients are enrolled in all sessions, but staff can book individual sessions.

For example, if an event consists of four instances priced at $25 each and is scheduled to start on December 1 and a client is enrolled into the event on December 2, the client will be required to pay $100 for all four instances.

Display applicable Purchase Options during booking

Select this option to show Purchase Options that can be used to pay for the event when clients are booking it.

Hide applicable Purchase Options from clients

Select this option to hide Purchase Options that can be used to pay for the event from clients when booking this event.

Clients will be required to pay the price per session when they book this event.

This option can’t be selected if you choose Allow clients to book with Purchase Options only.

Hide applicable Purchase Options from clients and staff members

Select this option to hide Purchase Options that can be used to pay for the event from staff members and clients when booking this event.

Clients will be required to pay the price per session when they book this event.

This option can’t be selected if you choose Allow clients to book with Purchase Options only.

Show individual session price during booking to clients with applicable Purchase Options

Select this option to display the cost per session for the event in the Client Portal and Achieve Client App to clients who have an applicable Purchase Option for the event.

This option is available if the Allow clients to book with drop-in rates or Purchase Options setting is selected.

Hide individual session price during booking from clients with applicable Purchase Options

Select this option to hide the cost per session for the events in the Client Portal and Achieve Client App even if the client has an applicable Purchase Option for the event.

This option is only available for non-block events with the Allow clients to book with drop-in rates or Purchase Options setting selected.

Book-a-Spot asset purchase rules

Purchase Rule

Description

Sell individual sessions

Select this option to allow clients to purchase one-time sessions of this asset. This means that clients will be able to purchase an asset without a session pass or membership.

Do not sell individual sessions. Must be paid using Purchase Options.

Select this option to require that clients have a related Purchase Option to purchase this asset.

Client must purchase online at the time of booking

Select this option to require the client to pay for this asset right away when they book online.

This option is only available if your business has set up merchant processing.

Clients can only pay when they visit. Online payment is not available.

Select this option to disable online payment and require clients to pay in-person at your location.
