Class settings

This article describes all the settings available when you’re creating a class.

Note: Changing a class’s settings won’t apply changes to sessions of the class that have already been scheduled. Any upcoming sessions of the service that you’ve already scheduled must be canceled and scheduled again for the changes to apply.

Setting

Image

Click this field to change the image that will be used for this class. Be sure to follow the recommended image size and format.

CLASS NAME

The name of the class. Your clients can see the name you enter, so it should be both descriptive and brief. This is a required field.

BOOK NOW TAB

Your business’s book now tabs are listed.

Select one or more book now tabs to determine how the class will be categorized in the Client Portal. By default, the book now tab for classes is called Classes.

You can also complete the following actions:

  • Create a new book now tab by clicking Add Book Now Tab.

  • Modify an existing book now tab by clicking the Edit button

  • Delete a book now tab by clicking the Delete button

ACTIVE CLASS

Activates or deactivates the class. When this option is set to OFF, the class is deactivated and can’t be booked.

You can’t deactivate a class if sessions of it are scheduled. In this case, you must remove all sessions of the class from the schedule before you can deactivate the class.

DESCRIPTION

A description of the class. Your clients can see the description, so it should be descriptive and brief.

Classes with an empty DESCRIPTION field won’t be displayed on Wellhub.

SPECIAL INSTRUCTIONS

Any special instructions your clients need to know about the class. For example, you can use this field to instruct your clients to bring clean indoor shoes to a fitness assessment.

Special instructions can be added or changed on the Edit Schedule page and will take precedence over the special instructions added in the class settings. Special instructions added or changed after a class has been scheduled will apply to previously scheduled classes as well.

If the Only display special instructions to clients who have booked this class option is set to ON, the special instructions for a class will only be displayed to clients who are booked into the class. If set to OFF, the special instructions for a class will be displayed to all clients, regardless of whether they’re booked into the class.

Manage Schedule

Allows you to edit the schedule for an existing class.

Note: Classes can span multiple days if a location’s business hours allow it. If you’ve set padding time for your service, keep in mind that padding time can roll over to the next calendar date, if needed. For more information, see Setting a location’s business hours.

CALENDAR COLOR

The background color of the class as it appears on your internal schedule. Use this to make it easier to distinguish your services from one another, or to simply liven up your schedule.

Capacity

The maximum number of people that can attend this event. The maximum value for capacity is 2048.

Clients can use these Purchase Options

The Purchase Options that clients can use to book the class.

Click the Add button to add a Purchase Option clients can use to book this class.

Click the Remove button to prevent clients from using the Purchase Option to book this class.

Set [Purchase Option] as the default Purchase Option when paying for this service

Allows you to select a default Purchase Option that will be used for the payment when a client books this class.

  • When a default Purchase Option is set, staff members and clients can still choose to pay for the booking using one of the other Purchase Options available for this class.

  • If the client doesn’t own an applicable Purchase Option when booking the class, the default Purchase Option will be automatically selected when the client pays for the class. Likewise, when a staff member sells a client a new Purchase Option to reconcile an unpaid booking, the default Purchase Option will be automatically added to the shopping cart.

  • If the default Purchase Option is set to None, a Purchase Option won’t be automatically selected when the client pays for the class, and no Purchase Option is added to the shopping cart when a staff member reconciles an unpaid booking for the client.

Note: If the Visit Session Value for this service is greater than one, then a session pass that only allows a single visit can’t be selected as the default Purchase Option.

Purchase Rules

A setting that specifies how clients can pay for and enroll in this class. For more information, see Purchase rules.

Taxes

Select whether taxes apply to this class. If you have configured taxes and taxes apply to this class, select each tax type that applies.

In-person or Virtual Service

Determines whether your clients will attend the class in person at your studio or remotely via a FitLIVE service or non-integrated virtual service.

  • To create an in-person class, select This is an in-person service.

  • To create an online class using FitLIVE, select Virtual service. This option will only be displayed if your business is signed up for FitLIVE.

  • To create an online class using a non-integrated virtual service provider, select This is a non-integrated virtual service.

    • If you select this option, you must add a valid URL for the virtual service to the NON-INTEGRATED VIRTUAL SERVICE LINK field when booking a class.

Notes

  • To start a non-integrated virtual service from WellnessLiving, you must sign in to the hosting platform beforehand. For more information, see Hosting a virtual service.

  • If changing a virtual class to an in-person class, we recommend canceling the upcoming sessions before changing the setting, or previously scheduled sessions of this class may still appear on your schedule with the virtual service icon

Client Online Booking

A setting that specifies whether clients can book this class online. Select one of the following options:

  • Clients can book online – Clients will be able to see and book this class through your Client Portal and Achieve Client App.

  • Disable booking online – Clients can’t book the class online. If this option is selected, you must select one of the following options:

    • Display class to all clients – Clients will be able to see the class on the booking tab of the Client Portal and Achieve Client App, but they’ll be asked to contact your business if they attempt to book the class online.

    • Class is not visible to clients booking online – Clients won’t be able to see the class on the booking tab but can still check in to the class using the Self Check-In Kiosk.

  • Only selected client groups or types can book online – Allows you to select the client types and client groups that can book the class. If this option is selected, you must select one of the following options:

    • Display class to all clients – Clients can see this class on the booking tabs of the Client Portal and Achieve Client App even if they aren’t signed in. To book the class, clients must be signed in to WellnessLiving, in addition to being a member of the specified client types or groups.

    • Display class to selected client types or groups – Clients who aren’t signed in to WellnessLiving won’t be able to see the class on the booking tabs of the Client Portal or Achieve Client App. To view and book the class, clients must be signed in to WellnessLiving, in addition to being a member of the specified client types or groups.

Note: These settings won’t affect a client’s ability to view or check in to services when using the Attendance Kiosk or Self Check-In Kiosk.

Staff Booking

The client types that staff members can book into this class.

  • Staff can book all Client Types – If you choose this option. staff members can book all client types into this class.

  • Staff can only book selected Client Types – If you choose this option, you must select the checkbox for each client type that staff members can book.

Prerequisites

A setting that determines whether clients must attend certain classes or events before booking this class. For more information, see Adding prerequisites to a class or event.

Age Restriction

A setting that determines whether classes of this type are restricted to clients in a certain age range.

  • Open to all ages – This class won’t be restricted by age.

  • Restricted to certain ages – The class will be restricted by age. Enter the Minimum Age or Maximum Age that clients must be within to book the class. You can also select an Age Range if you want to make the classes available to clients within a particular age group.

    • If you want the service to be hidden from clients who don’t meet the age requirements, set the Display service to clients who do not meet the age requirement option to OFF. When this option is set to OFF, clients must be signed in to their accounts to view all services with age restrictions.

Assets

An option that allows you to select whether assets are required for this class.

If assets are required, select Service requires assets, then select the required asset category from the list. If multiple assets are required, click the Add asset button and determine the settings for each asset.

You have the following options for each asset:

  • This service requires a specific asset within this category – Only the selected assets can be reserved with the class.

  • This service can use any asset within this category – Any asset in the selected category can be reserved with the class.

  • This asset is reserved individually per client – One asset is reserved for each client who books this class. If you select this option you must also choose one of the following options:

    • Client is able to choose which asset they would like to reserve – Clients can select which asset they want to reserve when booking this class. If a class requires an asset from two or more different asset categories, the client will be required to select one asset from each category when booking the class.

    • Asset is selected automatically and the client cannot change the reservation – An asset will be selected and reserved automatically when a client books this class.

  • This asset is reserved for the entire class – One asset is reserved for communal use by all clients who booked the class. For example, if a room is required for the class, you can reserve the room to ensure it can’t be booked by other staff members or clients during the class.

Custom Business Policies

A setting that allows you to apply custom business policies, such as booking policies or automatic attendance tracking, to this class.

To apply custom business policies, set this option to ON. This will display the class-specific business policy settings.

Default settings are automatically pulled from your Business Policies page, so you only need to change the specific settings that you want to customize for this class.

QUICK Buy Settings

A setting that allows you to select whether QUICK Buy products are available for this class.

If you select QUICK buy products are available for this service, you can select which QUICK Buy products are available. For more information, see QUICK Buy.

Take Notes

A setting that allows you to enable note-taking for this class. Select one of the following options:

  • None – Notes aren’t enabled.

  • Quick – Notes can be taken in a general notes section.

  • SOAP – Notes can be taken in the SOAP (Subjective, Objective, Assessment, and Plan) format.

Visit Session Value

The session value of a single class of this type. This determines what constitutes a “session” when a client uses a session pass or membership to pay for the class.

A single class can be equal to one session, or a custom value of your choice. For example, you could make the class count as two sessions, and if a client uses a session pass to pay, it will remove two sessions from their pass.

Notifications

An option that allows you to select whether clients and staff members will receive notifications for this class.

Wellhub Integration

A setting that allows you to determine whether to enable Wellhub integration for this class. This option is only available after you’ve enabled Wellhub integration for your business. You must select one of the following options:

  • Enable Wellhub Integration – If you select this option, Wellhub will be enabled for existing scheduled class sessions and new class sessions that you plan to schedule in the future. Clients can book this class through Wellhub.

    • APPROXIMATE REVENUE – Enter the approximate revenue per client per class session.

      • Changing the approximate revenue on the class setup page will override the approximate revenue for all scheduled class sessions. However, changing the approximate revenue when scheduling a class session won’t affect the approximate revenue on the class setup page.

    • This setting will be automatically selected if Wellhub integration for your business location on the Location Details page is set to ON.

  • Disable Wellhub Integration – If you select this option, Wellhub will be disabled for all scheduled sessions of this class. Clients won’t be able to book this class through Wellhub.

QUICK Search Tags

The QUICK Search tags that apply to this class. In the list, select all the QUICK Search tags that apply. QUICK Search tags aren’t customizable.

QUICK Search tags help categorize your class for clients who are searching for new services on WellnessLiving Explorer. For example, if this is a bootcamp class, add both Strength and Conditioning, and Cardio Conditioning. If you’re offering a martial arts class, add Martial Arts.

If you’re offering a service that doesn’t fit into any of the available Quick Search tag options, choose the closest available option or leave this field blank.

Revenue Category

The revenue categories assigned to this class. Click a revenue category to select or deselect it. You can select as many revenue categories as needed, edit or delete existing categories, or add new ones.
