Manage Door Access by Brivo

Brivo is one of two WellnessLiving integration partners that provides you with door access, allowing you to control which of your customers can access your locations. Review this article to set up and grant access with Door Access by Brivo.

Set up Door Access by Brivo

Before you can use Door Access by Brivo with WellnessLiving, follow these steps to set up the Brivo integration:

1. Set Up a Brivo Account

A Brivo account is required to enable the integration. To begin, contact Brivo and open an account. At this point, inform your contact that you want to integrate with WellnessLiving.

For information on opening an account, pricing and subscription options, hardware and software installation, or troubleshooting and support, visit the Brivo website or contact Brivo directly.

2. Purchase a Brivo Subscription

Purchase the appropriate subscription from Brivo for your business needs. This subscription is separate from your WellnessLiving subscription.

3. Install Brivo Hardware and Software

Install Brivo hardware at your locations. Brivo or your installer will also assist you with installing the software suite.

After installation, Brivo will provide you with the following five essential credentials:

  • API Key

  • Client ID

  • Client Secret

  • Username

  • Password
    → Be sure to save this information—you’ll need it when connecting your account in WellnessLiving.

4. Enable Door Access by Brivo

Once your Brivo account is active, hardware/software is installed, and you have the Brivo credentials, purchase and enable WellnessLiving’s Brivo integration through your Staff Back Office.

To enable Door Access by Brivo:

  1. Click the App Drawer button then click View All > Setup > Integrations > Door Access.

  2. On the Door Access page, if you haven’t already done so, click Contact Brivo to set up your Brivo account and complete all the prerequisites mentioned above.

  3. On the Door Access page, click Connect Account.

  4. In the Connect Brivo Door Access popup, enter the five essential criteria you obtained from Brivo or your Brivo installer into the provided fields.

  5. Click Connect. You can now add client groups in WellnessLiving as access groups in Brivo when creating a client group. Once this is done, you can use Brivo’s software to set access settings specific to your business needs.

Grant door access with Brivo

With the Brivo integration, you can provide door access to your clients and staff members using client groups.

Notes:

  • Make sure all changes you make to clients are done on WellnessLiving first. Changes made to client data on Brivo’s software aren’t reflected in WellnessLiving. For example, if you delete a client or client group in Brivo, it won’t be deleted in WellnessLiving, which can lead to errors.

  • It can take up to 24 hours to synchronize changes done on WellnessLiving with Brivo’s backend.

Grant door access to clients and staff

Door access must be provided to a client group. To grant Brivo door access to clients and staff:

  1. Create a new client group with Door Access Settings set to ON for each level of access you want to provide. It’s best to give these client groups an easily identifiable name.

    • For clients, we are currently beta testing a feature that sends Brivo mobile pass invitations to all clients in the group by setting the Assign mobile credentials option to ON.

      • When activated, every client in the group with an email address associated with their client profile will receive an invitation to the Brivo mobile app.

        • Any new client added to the group will receive the invitation email as soon as they’re added to the group.

        • Door access settings for clients removed from the group or moved to a different are automatically updated.

        • Mobile pass invitations can be individually sent to clients in this group by clicking the Action button on a client’s profile overview page and clicking Send Brivo mobile pass invitation. If the client already redeemed the pass, the invitation won’t be resent.

      • We strongly recommend encouraging your clients to create an account on their Brivo app once they accept the invitation, so that if they ever uninstall the app or change phones, they can sign in without needing another invitation.

      • If the option is disabled, new clients added to the group won’t receive invitations. If the toggle is turned on again, the invitation email will be sent to any clients added to the group when the toggle was off.

  2. Add your clients or staff members to the new client group.

You now have the client profiles of your desired clients or staff added into a client group that has Door Access settings enabled. The Door Access integration will automatically add the client group as an access group in Brivo, allowing you to use Brivo’s software to manage access settings and permissions for them.

Disable Door Access by Brivo

To disable Door Access by Brivo:

  1. Click the App Drawer button then click View All > Setup > Integrations > Door Access.

  2. On the Door Access page, click DISCONNECT. Any client groups that were previously granted door access will no longer have it and door access settings will be disabled.

    • Disconnecting the Door Access integration won’t end a contract with Brivo, nor will it stop your subscription payments to either Brivo or WellnessLiving. It will only remove the data synchronization with Brivo’s software.
