Clients at Risk report

To access the Clients at Risk report, open the App Drawer then click Reports > Clients > Clients at Risk.

The Clients at Risk Report is a client report that displays a list of clients who haven’t attended services at your business in a certain amount of time. This amount of time is determined using the settings at the top of the report. The summary cards at the top of the page provide an overview of the key information in the report.

View options in the Clients at Risk report

At the top of the report, determine which clients to include in the report:

  1. In the Client has not visited in text box, enter the minimum number of days, weeks, or months that must have passed since the client’s last visit for them to be included in the report.

  2. In the Client is considered lost after text box, enter the maximum number of days, weeks, or months that must have passed since the client’s last visit to your business for the client to be included in the report.

Summary cards in the Clients at Risk Report

In addition to the summary cards listed in the table below, summary cards corresponding to any custom client types you have created will also be available.

Active Pass Holder

The total number of active pass holders at risk based on your search criteria.

Active Member

The total number of active members at risk based on your search criteria.

Inactive Pass Holder

The total number of inactive pass holders at risk based on your search criteria.

Inactive Member

The total number of inactive members at risk based on your search criteria.

Prospect

The total number of prospects at risk based on your search criteria.

Headings in the Clients at Risk Report

Heading

Filter

Client

The name, email, and profile image of the client.

Relevant details about this client, such as pass status, waiver status, contract status, special notes, unpaid visits, and account balance will be noted here by small icons. Hover over any icon to learn more.

Last Visit

The last service that the client attended at one of your locations, along with the date, time, and staff member for that service.

By default, the report includes clients who haven’t visited in at least one month. Use the text boxes and drop-down menus at the top of the report to determine which clients appear in the report based on the number of days, weeks, or months.

Last Visit Location

The location that the client most recently attended.

Upcoming Visit

The next visit the client has scheduled, along with the date, time, and staff member for that service.

Upcoming Visit Location

The location of the next service the client has scheduled.

Purchase Option Status

The status of the client’s Purchase Option. Possible statuses include:

  • On hold

  • Not on hold

  • No active Purchase Options

If the client has multiple Purchase Options, the report will indicate On hold if at least one of the Purchase Options is on hold.

Advanced filters in the Clients at Risk Report

Determines which clients to include in the report based on whether they currently have an active Purchase Option.

Upcoming Visit

Determines which clients to include based on whether they have any upcoming visits scheduled.

Client Groups

Determines which clients to include in the report based on their client group.

Locations

Determines which locations to include in the report.

Day of the Last Visit

Determines which clients to include in this report based on the day(s) of the week their last visit occurred.

Classes

Determines which classes to include in the report.

Events

Determines which events to include in the report.

Appointments

Determines which appointment types to include in the report.

Client Types

Determines which clients to include in the report based on their client type.

Gym Visits

Determines whether to include gym visits in the report.

Staff

Determines which staff members to include in the report.

Last Visit Location

Determines which location the client most recently visited
