After a class has been scheduled, you can book clients into the scheduled class from the Staff Back Office or Elevate Staff App. Clients can be booked into a single session of a class or into recurring bookings, which means they’ll be booked into every upcoming session of the class.
You can also book a class for multiple clients at once. Additionally, clients can book themselves into classes from the Client Web App or Achieve Client App.
Warnings:
By default, recurring bookings are booked up to six months in the future. At the end of the six months, the next six months of classes are booked. However, changing a class’s date, time, or substituting a session’s instructor will disable this behavior.
Recurring classes with no end date are rebooked by the system in one-month increments after the initial six-month period.
If you want to stop a client’s booking from recurring, you can cancel the session that occurs on the date the booking should stop. This will stop all future bookings from recurring.
Key tips before you begin
Staff members can book classes for clients regardless of whether the client has completed the prerequisites for the class.
Book a class from the schedule
Desktop – Staff Back Office
To book a class from the schedule in the Staff Back Office, complete the following:
Click the App Drawer button then click View All > Schedule.
Select the class you want to book and click View attendance list. You may have to adjust the date range or use filters to find the class.
Click QUICK ADD.
To determine how the client will pay for the class, click the Attendance options button next to the search field that appears. To prevent the search field from minimizing, set the Lock search box option to ON.
To book the class without requesting payment, select Add Unpaid. If the client owns an applicable Purchase Option, it will be used to pay for the class.
To book the class and charge payment to the client’s account balance, select Add And Charge Account.
To book the class and make an immediate payment, select Add And Pay Now.
Enter the client’s information in the field. You can enter the client’s name, phone number, email address, UID, or client ID.
In the list of clients displayed, click the client’s name, and confirm the addition of the client to the list by making the appropriate selections in the confirmation popup that is displayed.
If the client’s age is outside of a specified age range for the class, click OK to book the class anyway.
If the client is marked as flagged, in the Confirmation Required popup, click OK to continue the booking.
If the client owns more than one Purchase Option that can be used to pay for the class, select the Purchase Option that should be used from the list, and click OK. The booking is complete.
If the client doesn’t own any Purchase Options that can be used to pay for the class, confirm in the confirmation popup that you want to book the client as unpaid and ask them to pay later, charge their account, or sell them a Purchase Option from the store.
To pay for a visit:
Click the Pay Now button .
In the confirmation popup, click OK.
Select an applicable Purchase Option to pay for the class.
Review the cart and enter any discount codes. Click Proceed to Checkout.
Select the payment method and enter the client’s payment information. If you want to apply a payment plan for the class, see Applying a payment plan at checkout.
Review the cart and then click Complete.
Mobile – Elevate Staff App
To book a class from the schedule in the Elevate Staff App, complete the following:
Tap the Schedule tab.
Tap the class you want to book for the client, then tap the Add button .
Enter the client’s information in the Search box, then tap their name in the list. If the client doesn’t have an account, tap Add New Client and create a new account by entering the required information and tapping Create account.
Next to the client’s name, tap the Action button, then add the client to the class:
Tap Add Using Purchase Option to add the client to the class using an applicable Purchase Option that the client owns.
Tap Add and pay now to add the client to the class and pay the drop-in rate or purchase a new Purchase Option to pay for the class.
Tap Add next to the drop-in rate or Purchase Option that you want to purchase.
Tap the Shopping Cart button to review the cart.
To see the details of an item, swipe left and tap Edit. Tap Remove from Cart to remove the item or tap Save to keep it.
Apply any price adjustments or discounts to the items in the shopping cart, as required.
If tips have been set up for the Elevate Staff App, select one of the displayed tip options.
Tap Make a Payment.
Select the payment method or methods.
Tap Complete.
Tap Email Receipt to send a receipt to the client.
Tap No Receipt to send no receipt to the client.
Tap Complete. The sale is complete.
Tap Book unpaid to add the client without payment.
Book a recurring class
Notes:
When you make a recurring class booking for a client, the client is automatically booked into all available sessions of the class on the selected days. This includes multiple separate sessions of the same class on the same day.
Unwanted bookings can be manually removed by a staff member, but we recommend creating multiple different classes for days or time periods to simplify your booking process.
To book a recurring class for a client, complete the following:
Click the Search button in the Top Nav Bar and enter the client’s information, then click their name in the list.
On the Overview page, click Book and select Class.
Find the class you want to book and click the Recurring Booking button . You may have to adjust the date range or use filters to find the class.
The Recurring Booking button is only available when the schedule is viewed in List. For more information, see Schedule views.
If the client’s age is outside of a specified age range for the class, a confirmation popup is displayed. To book the class anyway, click OK.
If the client is marked as flagged, in the Confirmation Required popup, click OK to continue the booking.
Under ENDS, select the number of classes to book:
To make a recurring booking for a certain number of classes, select NUMBER OF BOOKED CLASSES and enter the number of classes you want to book.
To make a recurring booking for classes over a specific time period, select BOOK FROM ___ TO ___and select a start and end date in the date fields.
To make an ongoing recurring booking for classes that repeats indefinitely, select NO END DATE.
When no end date is selected, the system books recurring classes for six months. After one month, and every month thereafter, the system books another month of classes to maintain six months of future bookings for the client. For example, if on January 1, you book a weekly recurring class with no end date, the system will automatically book classes from January 1 to June 30. On February 1, the system will automatically book classes for the month of July, and so on.
Under REPEATS EVERY:
Enter the number of days, weeks, or months on which this class will recur.
Select days, weeks, or months from the list to determine how often the booking will reoccur.
Under REPEATS ON, select the day(s) of the week on which the booking will reoccur.
Confirm the booking information is correct. Under BOOKED SESSION, the dates of all booked sessions are displayed.
If the client was added to any waitlists, this will be displayed under ADDED TO WAITLISTS.
Click BOOK.
In the confirmation popup, click OK. The recurring booking is complete.
Book a class from a client’s profile
To book a class from a client’s profile, complete the following:
Click the Search button in the Top Nav Bar and enter the client’s information, then click their name in the list.
On the Overview page, click Book and select Class.
If only one service is enabled for your business, click Book class.
Find the class you want to book and click Book Now. You may have to adjust the date range or use filters to find the class.
If the client’s age is outside of a specified age range for the class, a confirmation popup is displayed. To book the class anyway, click OK.
If the client is marked as flagged, in the Confirmation Required popup, click OK to continue the booking.
Review the class and asset information and click NEXT.
If the client owns an applicable Purchase Option, the booking is complete. If not, continue with step 6.
Decide when the client will pay for the class:
To pay for the class when the client visits:
Select Pay When You Visit.
Click COMPLETE.
To pay for the class now:
Select an applicable Purchase Option to purchase to pay for the class and click NEXT.
Review the cart, enter any discount codes next to the Discount Code field and click NEXT.
Select each payment method that the client wants to use, such as Virtual Terminal, Card Swiper, Cash. In most cases, the total payment is split between the selected payment methods equally, but you can adjust the amounts as required. If you select Gift Cards, you must enter the required code, and the amount on the gift card will be entered automatically. To apply a payment plan for the class, see Applying a payment plan at checkout.
Click COMPLETE.
Book and check in to a class scheduled for today
To book a client for a class scheduled for today and check them in at the same time, complete the following:
Click the Search button in the Top Nav Bar and enter the client’s information, then click their name in the list.
On the Overview page, next to QUICK Check-in for Today, select a location.
Book the class for the client. You have the following options:
Click Check-In.
If the client doesn't have a Purchase Option that can be applied to this class, the client will be checked in to the class unpaid.
If the client has a Purchase Option that can be applied to this class, the Purchase Option will automatically be applied and the client will be checked in to the class.
If the client is marked as flagged, in the Confirmation Required popup, click OK to continue the booking.
Click Pay & Check-In.
Review the class information and click NEXT.
Decide when the client will pay for the class:
To pay for the class when the client visits:
Select Pay When You Visit.
Click COMPLETE. The client is checked in to the class.
To pay for the class now:
Select an applicable Purchase Option to purchase to pay for the class and click NEXT.
Review the cart. Next to Discount Code, enter any discount codes and click NEXT.
Select each payment method that the client wants to use (e.g., Virtual Terminal, Card Swiper, Cash). In most cases, the total payment is split between the selected payment methods equally, but you can adjust the amounts as required. If you select Gift Cards, you must enter the required code, and the amount on the gift card will be entered automatically. Click COMPLETE. The client is checked in to the class.
