Book an appointment as a client

As a client, you can book in-person or virtual services, such as appointments, classes, events, and Book-a-Spot assets directly from the browser-based Client Portal or Achieve Client App.

Desktop – Client Portal

To book an appointment using the Client Portal, complete the following:

1. Open the Appointments tab

On the top menu, click Book Now, then click the Appointments tab.

  • If the business has multiple locations, and there are no appointments available at your home location, under the business’s address, click Change location and select another location.

2. Select the appointment(s) you want to book

A. Select an appointment category from the list. It should be set to All services by default.

B. Click Add next to the appointment you want to book.

  • If the appointment has any add-ons available, a pop-up window will appear with the available add-ons displayed in a scrollable list. Add any add-ons to the service or, if you don’t want to purchase any add-ons, click No thanks.

C. If you are booking an appointment for a relationship profile, under Booking for, select the name of the relationship client from the list.

  • If the relationship client doesn’t have a profile, click Add new relationship and enter their information, then click Create account. For more information, see Relationships.

  • If you want to book additional appointments, click Add beside each appointment and select any desired add-ons for each of them.

    • You can book up to four appointments at a time.

    • If you select an appointment that permits you to book multiple sessions at the same time, another copy of the appointment is displayed below it in the list of services. Click Add next to the copy of the appointment to book an additional session of the same appointment type.

    • If you select multiple appointments that can be booked in back-to-back timeslots, the appointments will be booked back-to-back by default. To book the appointments for different dates or times, set the Book separate appointments instead option to ON.

3. Configure the appointment options

Depending on the business’s options, the following steps may be completed in a different order. Complete each step as it appears during your booking flow.

  • If you need to start over from the beginning, you can click Start Over in the top-right corner of your cart.

A. Determine the frequency for the appointment(s)

Under Frequency, select whether you want to book a one-time or recurring appointment.

  • If you select Custom, configure the recurring booking options:

    1. Under Repeats every, select the number of days, weeks, months, or years upon which the appointment will recur.

    2. If you selected weeks or months, under Repeats on, select the day of the week or the day of the month on which the appointment recurs.

    3. Under Ends, select whether the booking never ends, ends on a specified date, or ends after a specified number of occurrences.

    4. Click OK.

  • If you’re booking multiple appointments back-to-back, you can’t book recurring appointments.

B. Select the date and time for the appointment(s)

In the calendar section, specify the date and time for the appointment.

  • Open days with available times appear in blue. Open days with no available times appear in black and can’t be selected. Closed days appear grayed out and can’t be selected.

  • If required, select your time zone from the list.

  • If you don’t want to see time slots where you can join a wait list, set the Show wait-listed times option to OFF.

  • Select your desired time slot for the appointment.

    • If you’re booking multiple appointments, the appointments will automatically be booked back-to-back following the first one. To choose different times for your appointments, set the Select date and time for each service independently option to ON.

    • If a waitlist is available for a full appointment, the timeslot appears in orange. After booking, you’ll be placed on a wait list for the appointment.

C. Select the staff member for the appointment(s)

Under Select Staff, select the staff member you want to manage the appointment.

  • If applicable, select the preferred gender of the staff member.

D. Select any assets for the appointment

Under Select Assets, select any Book-a-spot asset required and click Next.

  • This option will only be visible if the appointment requires a Book-a-Spot asset.

Note: If you’re not signed in, you’ll be prompted to sign in now. If you don’t have an account yet, click Sign up to create a new client profile with the business.

4. Choose how you want to pay for the appointment(s)

Under Select Purchase Option, select an applicable Purchase Option to pay for the appointment.

  • This option will only be visible if online payment is available for the appointment.

  • If the business’s booking policies allow it you can pay for the appointment at a later date by selecting Continue booking and pay later, then Complete Booking.

  • To pay for the appointment during booking, do one of the following:

    • Select one of your available Purchase Options or redeem points and prizes tied to your account.

    • Buy a new Purchase Option from the list.

  • Click Next to continue to the required questions or forms. If there aren’t any questions or forms to be filled, click Checkout.

5. Provide any supplemental information

A. Under Questions, enter responses in the text fields and click Next.

  • This option is only visible if there are questions required for the appointment.

B. Under Forms, fill in the responses then click Next.

  • This option is only visible if there are forms required for the appointment.

6. Repeat steps for additional appointment(s)

If you’re booking multiple appointments, click Select Staff for the next appointment and repeat steps 3-9 to set all the appointment details and select Purchase Options for each of them.

  • If your appointments are back-to-back, the times for the additional appointments will be selected automatically.

  • If the Purchase Option for the first service can be applied to subsequent services, that Purchase Option will be automatically selected.

7. Complete your booking

  • If you already own the selected Purchase Options, if online payment isn’t available for the appointments, or you selected Book & Pay Later, click Complete Booking.

  • If you’re buying a new Purchase Option, you can sign any required contracts, select your payment method, and enter gift cards or discount codes on the Checkout page, then click Complete Booking.

    • If a staff member is required to approve your booking, click Request Appointment to notify a staff member of your appointment booking request. You’ll receive an email when a staff member approves or denies your request.

  • On the Thanks for Booking page, you can:

    • Click Book another service to book another appointment.

    • Click Share on Facebook or Share on Twitter to share your appointment booking or your add-on purchase on social media.

Mobile – Achieve Client App

Note: If you have an iOS device with more than one calendar, you must adjust the Apple Calendar setting under Achieve Client App: Settings to determine which calendar a service is added to when you book a service and select Add to calendar.

To book an appointment using the Achieve Client App, complete the following:

  1. In the bottom menu, tap Book Now, then under Select a service category, tap an appointments tab.

  2. Select the category of the appointment you want to book, then tap Next.

  3. Select the specific appointment, then tap Next. You may have to browse the list or filter the list to find the appointment.

  4. If add-ons are available, select the add-ons you want to purchase, then tap Next.

    • If the add-on has multiple options, select the options you want, tap ADD TO APPOINTMENT, and then tap Next.

    • Once you move on from this step, you won’t be able to edit any time-based add-ons. This is to ensure that the time slots you select for your appointment can be adequately staffed and scheduled.

  5. Specify your staff member preferences for the appointment:

    • If the option is available, select the preferred gender of the staff member you want to manage the appointment, then tap Next.

    • If the option is available, select the staff member you want to manage the appointment, then tap Next. If no staff member is available, tap the Back button and select a different gender option.

  6. On the calendar, select the date to set for the appointment. Available dates are displayed in blue. A list of available time slots for the date will be displayed.

    • If there are no staff members available for the appointment, you won’t be able to select a date from the calendar.

  7. Tap your preferred time slot, then specify how frequently you want the appointment to recur:

    • If you want to book recurring sessions of the appointment, tap Does not repeat and set the Repeat option to ON.

      1. Tap Frequency to select the time interval for when the appointment will repeat. You can select Daily, Weekly, or Monthly.

        • If you select Weekly, you must select the days of the week when the appointment will repeat.

        • If you select Monthly, you must select whether the appointment will repeat on a day of the week or a day of the month.

      2. Tap Every to select how often the appointment will repeat based on the selected Frequency. For example, if you select Monthly under Frequency, you can select 2 months, so the appointment repeats every two months.

      3. Tap Select Ending Mode to select when you want the recurring appointments to end:

        • Tap After [X] Occurrences and then select the number of times you want the appointment to repeat.

        • Tap On a Date and then select the date at which you want the appointment to stop repeating.

      4. Tap Save.

  8. Tap Next.

  9. If online payment is unavailable, or if you own an applicable Purchase Option, proceed to the next step. Otherwise, make a payment for your appointment booking:

    • Select an applicable Purchase Option from the list.

      • If online payment is required, tap Next, then determine whether you’ll pay now or later.

    • Sign any required contracts and select your payment method, and enter gift cards or discount codes.

  10. Complete your booking:

    • If a staff member isn’t required to approve your booking, tap Complete. Your booking is complete. On the confirmation screen, the service you booked is listed, along with any points earned for booking. From here, you can share your booking on Facebook or Twitter, book another service, or add the service you booked to your phone’s calendar.

    • If a staff member is required to approve your booking, tap Request Appointment to notify a staff member of your appointment booking request. You’ll receive an email when a staff member approves or denies your request.
