Create, modify, or duplicate a session pass

You can create, modify, or duplicate your session passes to offer tailor-made session passes to your clients through WellnessLiving. A session pass is a type of Purchase Option that offers clients a set number of visits to your locations for a set dollar amount. For example, a client can purchase a session pass that lets them join 10 boxing classes. Session passes expire either after the client uses up all the sessions, or a specified expiry date has been reached.

Key tips before you begin

  • If you change the activation date for a Purchase Option to a date that causes it to expire, you must remove the Status filter to view expired Purchase Options on the Purchase Options page.

  • A session pass can’t be created using the same name as an existing session pass. To name a new session pass using the same name as a deactivated session pass, we recommend that you change the name of the deactivated session pass.

  • When the After Expiration setting is edited globally for a session pass, the changes will be applied to all previously sold session passes but may not affect all clients who own the session pass. Create a session pass

To create a session pass, follow these steps:

  1. Click the App Drawer button then click View All > Setup > Store Configuration > Purchase Options.

  2. On the Purchase Options page, click Create Session Pass.

  3. Under Purchase Option Service Category, select the type of service to be offered by the session pass. Service types include: Appointments, Class/Events, Assets, Gym Visits, and Account Tab.

    • Account tab session passes add monetary value to a client’s account balance each membership period.

  4. Enter the details and settings for the new session pass. For more information on the settings you can modify, see Session pass general information settings and Session pass advanced settings.

  5. Click SAVE.

Caution: Avoid setting both a Set number of visits under the general settings and Attendance Restrictions under the advanced settings at the same time. When both of these are enabled at the same time for a session pass, it can cause the session pass to have one less visit than the client paid for when it auto-renews.

Modify a session pass

To modify a session pass, follow these steps:

  1. Click the App Drawer button then click View All > Setup > Store Configuration > Purchase Options.

  2. Click the session pass you want to modify from the list of created Purchase Options. Use the Search option or filter the list to find the session pass easily.

  3. Enter or change the details and settings of the session pass. Changes made to a session pass will affect all session passes of that type that are sold in the future, and all previously sold versions of it as well. For more information on the settings you can modify, see Session pass general information settings and Session pass advanced settings.

  4. Click SAVE.

    • If you’re modifying a session pass that was previously sold to clients, a warning popup will be displayed. You have the following options:

      • If this session pass was individually edited for one or more clients, you can apply the changes to their session passes by setting the Apply to client purchases that have been edited option to ON.

      • To apply the current Price setting to session passes that have been sold to clients, set the Apply current price [price] to past purchases option to ON.

      • The number of clients who will be affected by the changes is displayed. You can view the affected clients in more detail on the All Clients Report by clicking the Open [img] button.

      • To view a list of the changes to the session pass, click Show summary of changes.

    • Make your selections and click Update.

Caution: Avoid setting both a Set number of visits under the general settings and Attendance Restrictions under the advanced settings at the same time. When both of these are enabled at the same time for a session pass, it can cause the session pass to have one less visit than the client paid for when it auto-renews.

Duplicate a session pass

To duplicate a session pass, follow these steps:

  1. Click the App Drawer button then click View All > Setup > Store Configuration > Purchase Options.

  2. On the Purchase Options page, click the session pass you want to duplicate.

  3. On the bottom-right of the edit page, click Duplicate. The session pass is duplicated and named Copy of [name of existing session pass].

  4. On the Purchase Options page, click the duplicated session pass to modify its settings.

Note: When you duplicate a session pass, its Purchase Option Service Category is inherited from the original session pass and can’t be modified, unless you’re required to enter a new barcode for the copied session pass.
