Staff notification types

To view staff notification types, click the App Drawer then click Setup > Notifications > Staff notifications.

This article describes all the automated notifications that can be sent to staff members in WellnessLiving. For more information on how to modify staff notifications, see Customizing automated notifications.

Key tips before you begin

  • Staff notifications that are sent as push notifications are delivered via the Elevate Staff App, which is available to all businesses using WellnessLiving.

  • By default, deactivated notifications aren’t displayed on the Staff Notifications page. To view deactivated notifications, remove the Status filter

  • A staff member’s notification will always show times in their own time zone, in cases where a client’s time zone is different from a staff member’s.

  • If a staff member hasn't set a time zone in their profile, service notifications will use the client's time zone.

Appointments

Notification type

Description

Appointment Canceled

Sent when an appointment booked with the staff member is canceled or when another staff member is substituting for them.

By default, a calendar file (.ics) will be attached to this email notification. To send this notification without the calendar file, set the Enable Calendar Attachment option to OFF.

Appointment Change General Information (Staff Notification)

Sent when the appointment type of an appointment booked with the staff member is modified.

Appointment Change (Staff Notification)

Sent when an appointment booked with the staff member is modified.

This notification is sent to staff members even if the Disable staff notifications setting is selected in the appointment’s advanced settings.

New Appointment

Sent when a client books an appointment or when a staff member needs to approve an appointment request.

By default, a calendar file (.ics) will be attached to this email notification. To send this notification without the calendar file, set the Enable Calendar Attachment option to OFF.

This notification is also sent to staff members if they’ve been selected as a substitute to host an appointment.

Recurrent Appointment Cancelled (Staff Notification)

Sent when the repeating sessions of a recurring appointment booked with the staff member is canceled.

Appointment Requested

Sent when an appointment is booked, but the appointment been set up to require staff approval.

Appointment Reminder (Staff)

Sent to remind the staff member of an upcoming appointment. By default, this notification is sent one hour before the appointment.

When this notification is enabled, all staff members will receive the appointment reminder notification, even if they have the Receive all appointment notifications staff role permission disabled. This notification can’t be disabled for individual staff members or staff roles.

Attendance List

Attendance List

A daily notification that includes attendance information for the staff member’s scheduled services for the day.

This notification includes the names, emails phone numbers, and Purchase Option information for all clients with scheduled service that day.

This notification will only be sent if the following actions are performed in the Notifications tab on a staff member’s profile:

  • Under Notifications, the Override default notification settings option is set to ON. This will cause the Attendance List section to appear. For more information, see Overriding a staff member’s notifications.

  • Under Attendance List, the following settings are configured:

    • The Send an email option is set to ON.

    • The scheduled time for the notification is configured.

    • The Include my classes only option or the Include classes from all locations option is set to ON.

Class Booking

Sent to a staff member when a client has booked their class.

Class Booking Cancellation

Sent to a staff member when a client has canceled their class reservation.

Sessions Canceled

Sent to a staff member when one or more of their scheduled sessions have been canceled.

Class Schedule Details Have Changed

Sent to a staff member when their scheduled class has been modified.

Recurrent Class Booking

Sent to a staff member when a client has been booked into their recurring class.

By default, a calendar file (.ics) will be attached to this email notification. To send this notification without the calendar file, set the Enable Calendar Attachment option to OFF.

Recurrent Class Booking Cancellation

Sent to a staff member when a client’s recurrent class reservation has been canceled. By default, a calendar file (.ics) will be attached to this email notification.

To send this notification without the calendar file, set the Enable Calendar Attachment option to OFF.

If a staff member cancels multiple sessions of the same class at once, all staff members assigned to those sessions will receive the Recurrent Class Booking Cancellation notification (if enabled), even if recurring sessions of the class can't be booked (as defined in the business policy settings or the class type advanced settings).

Class Schedule Staff Substitution

Sent to both staff members after a staff member substitution occurs for a scheduled class.

Class Schedule Staff Substitution Reminder

Sent to a staff member to remind them they are the substitute instructor for an upcoming class.

Online Store

Product Inventory Reorder

Sent to staff members when a product’s inventory reaches the reorder level determined under Inventory Tracking in the product’s advanced settings.

Staff members must be assigned to a staff role with the Manage products staff role permission to receive this notification.

Purchases

Sale Has Been Made

Sent when a client makes a purchase from the store, when a staff member makes a sale, or when a no show/cancellation fee is charged.

Reward Points

Sent when a client uses their rewards points balance to redeem a prize.

Task

Assigned task

Sent when a task is assigned to the staff member via the task manager.

Lead Capture

Notification Type

Description

New Lead

Sent after a prospective client enters their personal information on the Lead Capture Widget.

This staff notification will only be sent to staff members who have the Receive new lead notification staff role permission.

If you add a custom client field to your Lead Capture Widget, any information entered in the field by a prospective client won’t be included in the [LeadInformation] email variable when this notification is sent to a staff member.
