You can add, modify, or delete a note about a client from their profile. You can use notes to document special information about a client and share that information with the client or other staff members.

By adding a flag to a note, you can restrict the client from booking services at the selected location(s). Staff members can still book services on the client’s behalf but will receive a warning during the booking process.

You can also choose whether to display the note’s content when hovering over the Alert icon .

Key tips before you begin

  • If a client is sent to Collections, they are automatically flagged. The flag will prevent them from making purchases or booking services and is only removed once their outstanding account balance is settled.

  • When a note is added to a client profile, it gets stamped with the date, time, and the name of the staff member who created it. If the note is modified, the details of the last modification will be displayed in orange. Hovering over the changes reveals the original date and name of the staff member who added the note.

Add a note from a client’s profile

To add a note from a client’s profile in the Staff Back Office, complete the following:

  1. On the Top Nav Bar, click the Search button and enter the client’s information in the box.

  2. In the list of clients displayed, click the client’s name.

  3. On the Overview page, under Notes, click Add note.

  4. Under Note Details, configure the following options:

    1. Flag client – Set this option to ON to flag the client.

      1. To prevent them from booking services, set the Restrict client from booking services option to ON.

      2. To prevent them from making purchases, set the Restrict client from making purchases option to ON.

    2. Location – Select the location where you want the note/flag to apply. The All locations option is selected by default.

    3. Visible to – Choose who can view the note. You can make the note visible to your staff and the client, just your staff, or just yourself.

    4. Display note when hovering over the note icon or appointment on the schedule – Set this option to ON to make the note visible when hovering over the note icon. This icon is found in areas of WellnessLiving where the client’s profile information is displayed, such as the schedule, reports, and attendance lists.

    5. Note content – Enter the information for the note about the client. You can adjust the font styles and add links in the note using the provided text editor.

  5. Click Save.

Modify a note from a client’s profile

To modify a note from a client’s profile in the Staff Back Office, complete the following:

  1. On the Top Nav Bar, click the Search button and enter the client’s information in the box.

  2. In the list of clients displayed, click the client’s name.

  3. On the Overview page, under Notes, find the note that you want to modify.

  4. Click the Edit button.

  5. Make your changes to the note’s settings.

  6. Click Save.

Delete a note from a client’s profile

Note: Flags must be removed from notes before they can be deleted. You must turn off the Flag Client toggle.

To delete a note from a client’s profile in the Staff Back Office, complete the following:

  1. On the Top Nav Bar, click the Search button and enter the client’s information in the box.

  2. In the list of clients displayed, click the client’s name.

  3. On the Overview page, under Notes, find the note that you want to delete.

  4. Click the Delete button.

  5. In the Delete note popup, click Delete.

Mobile - Elevate Staff App

Add a note from a client’s profile

To add a note from a client’s profile on the Elevate Staff App, complete the following:

  1. Tap the Clients tab, search for a client, and tap their name to go their client profile.

  2. Next to Notes, tap + New note.

  3. Under New Note, configure the following options:

    1. Flag client – Set this option to ON to flag the client.

      1. To prevent them from booking services, set the Restrict client from booking services option to ON.

      2. To prevent them from making purchases, set the Restrict client from making purchases option to ON.

    2. Flag client at – Select the location where you want the note/flag to apply. The All locations option is selected by default.

    3. Note visible to – Choose who can view the note. You can make the note visible to your staff and the client, just your staff, or just yourself.

    4. Note – Enter the information for the note about the client. You can adjust the font styles and add links in the note using the provided text editor.

  4. Tap Save.

To modify a note from a client’s profile on the Elevate Staff App, complete the following:

  1. Tap the Clients tab, search for a client, and tap their name to go their client profile.

  2. Next to Notes, tap the note you want to modify.

  3. Under Edit Note, modify the note’s description or settings as needed.

  4. Tap Save.

Delete a note from a client’s profile

Note: flags must be removed from notes before they can be deleted.

To delete a note from a client’s profile on the Elevate Staff App, complete the following:

  1. Tap the Clients tab, search for a client, and tap their name to go their client profile.

  2. Under Notes, tap the note you want to delete.

  3. Tap Delete Note.
