Cancellation and no-show penalties help gym owners protect revenue and ensure staff are compensated fairly. You can easily add, modify, or delete penalties for late cancellations and no-shows, allowing you to customize fees based on different service types.

Add a cancellation and no-show penalty

To add a cancellation and no-show penalty in WellnessLiving, complete the following:

  1. Click the App Drawer then click View All > Setup > Business > Business Policies .

  2. On the Business Policies menu, click Cancellation.

  3. Under the category Cancellation and No-show penalties, click Add Penalty.

  4. Select the type of cancellation and no-show penalty, then enter the threshold amount for your penalty.

  5. Under Type and Threshold, configure the following:

    • Under Type, select whether the penalty will apply to late cancels, no-shows, or both.

    • Under Threshold, set the threshold for when a client will incur a penalty. For example, if you want to limit clients to one cancellation or no-show a week before incurring a penalty, set this to 1 time(s) in 1 week(s).

  6. Under Penalty, set the type of penalty a client will receive:

    • Flag client account – Sets a flag on the client’s account, preventing them from booking future sessions until the flag is removed.

    • Charge client [number] [$} [%] – Charges the client a set dollar or percentage amount as a penalty.

  7. Under Applicable client types, select the client types that may incur this penalty.

  8. Under Applicable services, select which service types will use these penalty rules.

  9. Click Add.

Modify a cancellation and no-show penalty

To modify a cancellation and no-show penalty in WellnessLiving, complete the following:

  1. Click the App Drawer then click View All > Setup > Business > Business Policies.

  2. On the Business Policies menu, click Cancellation.

  3. Under Cancellation & No-Show Penalties, find the penalty you wish to edit, then click the Action button next to it.

  4. Click Edit.

  5. Update the penalty as needed.

  6. Click Save.

Delete a cancellation and no-show penalty

To delete a cancellation and no-show penalty in WellnessLiving, complete the following:

  1. Click the App Drawer then click View All > Setup > Business > Business Policies .

  2. On the Business Policies menu, click Cancellation.

  3. Under Cancellation & No-Show Penalties, find the penalty you wish to delete, then click the Action button next to it.

  4. Click Delete.

  5. In the confirmation popup, click Delete. The penalty will be permanently deleted.
