You can prorate a client’s membership payment at the time of purchase in the store or afterward through the client’s profile. Prorating ensures that clients only pay for the time they actually have access to your services.

You can also allow clients to change the start date of a membership and prorate their first payment when they purchase the membership in the Client Portal or Achieve Client App. For more information, see Membership general information settings.

Prorating a client’s membership payment can be useful when:

  • A client wants to purchase a membership halfway through a payment period.

    • For example, a client wants to purchase a membership with scheduled payments on the first of every month. If they purchase on January 15, you can prorate the payment to charge them only for January 15 to January 31st. After that, they'll be billed the full membership fee on the first of every month.

  • A client wants to change the date of their scheduled payments forward or backward and have their payments prorated accordingly.

    • For example, if a client with monthly payments on the 1st wants to change their payment date to the 15th, they’ll be billed for the extra days from January 1 to 14th. After that, the full membership fee will be charged on the 15th each month.

Key tips before you begin:

  • If you prorate payment for a membership that has an attendance restriction, the set number of visits for the prorated period isn’t affected.

    • For example, a client buys a prorated membership on January 15 with an attendance restriction of five visits per month (set to apply at the start of the calendar cycle). The client will be able to use five visits between January 15 and January 31st, and five visits between February 1 and February 28.

  • If a membership is terminated before the payment period is over, the payment isn’t automatically prorated because the full amount was already charged. To resolve the discrepancy, you can manually issue a refund. For more information, see Refunding a transaction or purchase.

Prorate a membership payment at checkout

To prorate a membership payment at checkout, complete the following:

  1. Click the App Drawer button then click View All > Store.

  2. Under Location, select the location where the purchase is being made. This option only appears for businesses with multiple locations.

  3. Under Client Information, select the client who is making the purchase in one of the following ways:

    • In the Search Clients box, type in the client’s name, and then select the client from the list.

    • To create a new client, click Add Client, complete the required client profile information, and then click Save.

  4. Under Products and Services, search for and select the membership you want to purchase, and then click Add to cart.

  5. In the shopping cart, click the Options button and select Edit Details from the list.

  6. In the Start On box, enter the date you want the membership to start. Expiration and renewal dates are based on the date entered here.

  7. Set the Prorate first payment option to ON.

  8. In the Prorate From box, enter the date you want to start the prorated membership.

  9. If you want the client to pay for only the prorated time in the current pay period, set the Pay for prorated period only option to ON.

  10. Click Proceed to Checkout.

  11. Under Select a Payment Method, select each payment method that the client wants to use.

  12. Click Complete.

Prorate a membership payment from a client’s profile

To prorate a membership payment from a client’s profile, complete the following:

  1. On the Top Nav Bar, click the Search button , and enter the client’s information in the box.

  2. On the side menu, click Account and then click Passes & Memberships.

  3. Select the membership that you want to prorate the payment for.

  4. In the Action column, click the Action button to the right of the membership listing and then select Edit Purchase Option.

  5. In General Information, under Auto-payments every, select the date the membership will start. Expiration and renewal dates are based on the date entered here.

  6. Select the checkbox next to Prorate first payment.

  7. In the Prorate from box, select the date you want to start the prorated membership.

  8. Click Save For [Client Name].

Prorate a membership payment from the Client Portal

To prorate a membership payment from the Client Web App, complete the following

  1. In the top menu, click Store.

  2. Under Choose Location, select a location. This is only required if the business has made it necessary for clients to choose a location.

  3. Click the membership you want to purchase.

  4. In the shopping cart, next to the membership’s name, click the Action button and then select Edit Details.

  5. Under Start Date, select the date you want the membership will start. The price will be prorated based on the date selected.

    • Alternatively, you can click More Details when hovering over the membership. Under Start Date, select the date you want the membership will start. Then click Add to Cart.

  6. Click Proceed to Checkout.

    • If you’re not already signed in, you must sign in before selecting a payment method.

    • If an item in your shopping cart requires you to sign a contract, the Sign Contract button will be displayed instead. Click Sign Contract, review and sign the contract, and then click I Agree to Use Electronic Signatures.

  7. Select each payment method you want to use.

    • If you select multiple payment methods, the total payment will be split equally between them, however, you can adjust the amounts as required.

    • If you’re signed in as a guest, you must enter your email address and credit card information. When you complete your purchase, a guest profile will be created for you at this business. For more information about Guests, see Understanding Guests.

  8. If you want to use a gift card or coupon to pay for your purchase, enter the appropriate information in the Gift Card or Coupon #

    • Only one gift card can be used at checkout.

  9. To apply a discount code to your shopping cart:

    • Click Add discount code.

    • Under Enter Discount Code, enter your discount code.

    • Click the Confirm button.

  10. Click Complete. The purchase is complete.

Prorate a membership payment from the Achieve Client App

Prorate a membership payment from the Achieve Client App, complete the following:

  1. Tap the Store tab then tap the membership you want to purchase.

  2. On the Product Details page, click Start Date then select the date you want the membership will start, and click Update.

  3. Tap Add To Cart then tap Check Out.

    • If an item in your shopping cart requires you to sign a contract, the Sign Contract button will be displayed instead. Click Sign Contract, review and sign the contract, and then click I Agree to Use Electronic Signatures.

  4. To apply a discount code to your shopping cart:

    • Under Discount Code select add a discount code then click the Confirm button.

  5. Under Payment Method, select a saved credit card.

  6. Tap Pay then tap Close.
