When creating or modifying a service, you can enable custom confirmation or reminder notifications for your clients that will be sent instead of the default confirmation and reminder notifications. If you have both default and custom notifications enabled, the custom notifications will take priority.

Enable custom confirmation notifications for a service

To enable custom confirmation emails for a service, follow these steps:

  1. Click the App Drawer button then click View All > Setup > Services.

  2. On the Services menu, click Appointments, Classes, Events, or Book-a-Spot to select the service for your custom notification. You can use Search or filters to find the service, if needed.

  3. Under Notifications, set the Client notifications option to ON.

  4. Set the Custom confirmation notification option to ON.

    • Three new options will appear below to determine how the custom notification will be sent to the client. You can choose between Email, SMS, or Push notification. Click the Edit button to modify the template for each option.

  5. Under Send Rules, determine the following:

    • To send the notification to specific client types only, set the Send to specific client types option to ON and then select the checkbox next to each client group you want to receive the email.

    • To send the notification to specific client groups only, set the Send to specific client groups option to ON and then select the checkbox next to each client group you want to receive the email.

      • Send rules apply to all enabled delivery methods. For example, if Email and SMS are enabled with a send time of one hour before the service, clients will receive both an email and an SMS one hour prior.

      • Enabled send rules will appear in a list below the custom notification’s activation toggle in the advanced settings for the service when the notification is enabled.

  6. Under Email, determine the following:

    • If you want the notification to be sent to clients via email, ensure the Activate email option is set to ON. Otherwise, set this option to OFF.

    • Under Subject, enter the subject line of the email notification.

    • Under Email content, make your changes to the template’s content using the default editor or click Visual Editor for more advanced options.

      • To fill the email content with a default template provided by WellnessLiving, click Use default template.

      • To display a list of variables that be used in your template, click View email variables.

      • To add a variable to your template, click the Copy to clipboard button next to a variable, then paste it in the Email content field.

  7. Under SMS, determine the following:

    • If you want the notification to be sent to clients via SMS, ensure the Activate SMS option is set to ON. Otherwise, set this option to OFF.

    • Enter the content of the SMS notification into the text field. Be aware of the SMS character limit.

      • To fill the SMS content with a default template provided by WellnessLiving, click Use default template.

      • Click View SMS variables to display a list of variables that can be used in your template. To add a variable to your template, click the copy button next to a variable, then paste it in the content field.

  8. Under Push, determine the following:

    • If you want the notification to be sent to clients via push notification, ensure the Activate Push option is set to ON. Otherwise, set this option to OFF.

    • Enter the content of the push notification into the text field. Be aware of the SMS character limit, as it also applies to push notifications.

      • To fill the SMS content with a default template provided by WellnessLiving, click Use default template.

  9. Click Save.

  10. When you return to the service settings page, click Save here as well to ensure your changes are saved for this service.

Enable custom reminder notifications for a service

To enable customer reminder notifications for a service, follow these steps:

  1. Click the App Drawer button then click View All > Setup > Services.

  2. On the Services menu, click Appointments, Classes, Events, or Book-a-Spot to select the service for your custom notification. You can use Search or filters to find the service, if needed.

  3. Under Notifications, set the Client notifications option to ON.

  4. Set the Custom reminder notification option to ON.

    • Three new options will appear below to determine how the custom notification will be sent to the client. You can choose between Email, SMS, or Push notification. Click the Edit button to modify the template for each option.

  5. Under Send Rules, determine the following:

    • Under Notification send time (prior to service start), enter a number and select minutes, hours, or days from the list to define how much time should pass until the notification is sent to the client.

      • Click Add reminder to add an additional notification with a new send time.

    • To send the notification to specific client types only, set the Send to specific client types option to ON and then select the checkbox next to each client group you want to receive the email.

    • To send the notification to specific client groups only, set the Send to specific client groups option to ON and then select the checkbox next to each client group you want to receive the email.

      • Send rules apply to all enabled delivery methods. For example, if Email and SMS are enabled with a send time of one hour before the service, clients will receive both an email and an SMS one hour prior.

      • Enabled send rules will appear in a list below the custom notification’s activation toggle in the advanced settings for the service when the notification is enabled.

  6. Under Email, determine the following:

    • If you want the notification to be sent to clients via email, ensure the Activate email option is set to ON. Otherwise, set this option to OFF.

    • Under Subject, enter the subject line of the email notification.

    • Under Email content, make your changes to the template’s content using the default editor or click Visual Editor for more advanced options.

      • To fill the email content with a default template provided by WellnessLiving, click Use default template.

      • Click View email variables to display a list of variables that can be used in your template.

      • To add a variable to your template, click the Copy to clipboard button next to a variable, then paste it in the Email content.

  7. Under SMS, determine the following:

    • If you want the notification to be sent to clients via SMS, ensure the Activate SMS option is set to ON. Otherwise, set this option to OFF.

    • Enter the content of the SMS notification into the text field. Be aware of the SMS character limit.

      • To fill the SMS content with a default template provided by WellnessLiving, click Use default template.

      • Click View SMS variables to display a list of variables that can be used in your template. To add a variable to your template, click the copy button next to a variable, then paste it in the content field.

  8. Under Push, determine the following:

    • If you want the notification to be sent to clients via push notification, ensure the Activate Push option is set to ON. Otherwise, set this option to OFF.

    • Enter the content of the push notification into the text field. Be aware of the SMS character limit, as it also applies to push notifications.

      • To fill the SMS content with a default template provided by WellnessLiving, click Use default template.

  9. Click Save.

  10. When you return to the service settings page, click Save here as well to ensure your changes are saved for this service.
