Gift Cards Report

To access the Gift Cards Report, App Drawer button then click View All > Reports > Sales > Gift Cards.

The Gift Cards Report is a sales report that displays the gift cards that were purchased or redeemed during the selected date range. The summary cards at the top of the page provide an overview of the key information in the report.

Summary cards

Description

Total Gift Cards

The total number of gift cards purchased during the selected date range.

Redeemed

The number of gift cards that were redeemed during the selected date range.

Not Redeemed

The number of gift cards that were active but not redeemed during the selected date range.

Expired

The number of gift cards that expired during the selected date range.

Deactivated

The number of gift cards that were deactivated during the selected date range.

Headings in the Gift Cards Report

Heading

Description

Purchase ID

The purchase ID of the sold gift card, which can also be found on the gift card receipt.

Purchase Date

The date and time on which the gift card was purchased.

Send Date

The date and time the gift card was sent to the recipient. If the gift card wasn’t sent via email, this column will be blank.

Note: The send date may have a Failed status if the email failed to send. For more information see Why aren’t clients receiving email or SMS notifications?

Sale Location

The business location where the gift card was sold.

Redemption Location

The business location where the client redeemed the gift card.

Sender

This column shows the client's name, email, phone number, and profile image, along with icons representing their pass status, waiver status, contract status, special notes, unpaid visits, and account balance. Hover over an icon for more details. To remove these details and only display the client’s name, set the Display extended client details option to OFF when customizing the report view.

Recipient

If the recipient is already a client, their client information is displayed. Client details, such as pass status, waiver status, contract status, special notes, unpaid visits, and account balance will be noted here by small icons. Hover over any icon to learn more. To remove these details and only display the client’s name, set the Display extended client details option to OFF when customizing the report view.

  • If the recipient isn’t a client, the email address for the recipient is listed.

  • If the recipient is a guest, Guest appears in this column.

Gift Card Number

The ID number for the gift card.

Gift Card Type

The type of gift card. There are two types of gift cards: Dollar Gift Cards which contain a dollar value or Products and Services Gift Card which contain set Purchase Options and/or services.

Gift Card Status

The gift card’s status is displayed in this column. The possible statuses are Redeemed by [name of client], Not Redeemed, Expired, and Deactivated.

Note:

  • If the type of gift card is a Products and Services Gift Card, the Redeemed by [name of client] status is displayed when the gift card is applied to the client’s profile.

  • If the type of gift card is a Dollar Gift Card, the Redeemed by [name of client] status is displayed when the gift card is used at checkout. If the gift card is redeemed by a guest, the Redeemed by [name of client] will display the name of the recipient entered when purchasing the gift card.

Redemption Amount

The dollar value that was used on a Dollar Gift Card the first time it’s been redeemed.

Point of Redemption

The area where the gift card was redeemed. The possible point of redemption areas are Online Store, Client’s Profile, and Registration.

Note: If the gift card is redeemed by a staff member through the Client Web App, the Achieve Client App, or the Elevate Staff App, the point of redemption is Online Store.

Expiration Date

The expiry date of the gift card. If the gift card isn’t set to expire, this column is blank.

Current Balance

The remaining dollar value of a Dollar Gift Card after it’s been redeemed. The remaining dollar value is updated every time the Gift Card is used.

Note: If the type of gift card is a Products and Services Gift Card, this column will remain blank

Sale Price

The price paid for the gift card.

What’s Included

The products and services included in the gift card or dollar value of the gift card at purchase.

Action

Click the Action button in this column to open the menu. From this menu you can resend the gift card by email to the recipient, view the details of the gift card, or deactivate the gift card

Advanced filters in the Gift Cards Report

Filter

Description

Gift Card Status

Use this filter to determine which gift cards to include in the report based on whether they’ve been redeemed or not.

Gift Card Type

Use this filter to determine which gift card to include in the report based on the type of gift card purchased.

Redemption Date

Use this filter to determine which gift cards to include in the report based on the date range during which they were redeemed.

Gift Card Value

Use this filter to determine which gift cards to include in the report based on the price range of the gift card.
