Set up your services for virtual hosting

With FitLIVE or a non-integrated virtual service provider, you can set up your appointments, classes, and events to be hosted virtually. Virtual services can be used to allow your clients to attend your services from their home or anywhere else in the world.

Key tips before you begin

  • In-person classes may appear as virtual on the schedule if a session is initially booked as virtual and later changed to in-person. To resolve this, delete the virtual session and reschedule it as in-person. To avoid this issue in the future, create separate classes for virtual and in-person sessions.

  • Avoid modifying the meeting passcode settings in Zoom for virtual services, as it can disrupt the link in the Join Session button on WellnessLiving, making it difficult to start the session.

  • If you want to allow your clients to book a virtual service through Google, you must enable Reserve with Google for your business or the location that provides the virtual service.

Set up an appointment type for virtual hosting

To set up an appointment type for virtual hosting:

  1. Click the App Drawer button then click View All > Setup > Services > Appointments.

  2. On the Appointments page, create, modify, or duplicate the appointment type that you will host virtually:

    • To create an appointment type, within the category of your choice, click Add Service.

      • At least one category must exist before you can create an appointment type. If no categories are listed, or if you want to create a new category, click Add Category, enter a Category Name, and then click Save.

    • To modify an appointment type, hover over the appointment type you want to modify and click Edit.

    • To duplicate an existing appointment type, click the appointment type you want to duplicate. Click Duplicate on the bottom right. The appointment type is duplicated and named Copy of [name of existing appointment type]. You can now modify the newly duplicated appointment type.

  3. Under Description, enter a description for the appointment. Zoom service descriptions should not exceed 2,000 characters. A longer description may result in errors when scheduling and hosting the service.

  4. In Advanced Settings under In-person or Virtual Service, select from one of the following options:

    • This is a virtual service — This option is only displayed to businesses that are subscribed to FitLIVE. To learn how to configure FitLIVE settings, see FitLIVE settings.

    • This is an integrated Zoom virtual service — This option is only displayed to businesses that are using Zoom integration. When this option is enabled, you must select one of the following options:

      • Enable Zoom waiting room — Select this option to allow clients to access a waiting room before a Zoom session.

      • Disable Zoom waiting room — Select this option if you do not want clients to have access to a waiting room before a Zoom session.

    • This is a non-integrated virtual service – You must remember to add the virtual service URL for the session to the Non-Integrated Virtual Service Link field when you’re scheduling a session from the session setup page or from the schedule. For more information, see Booking an appointment.

  5. Enter or change any further details and settings for the appointment type.

  6. Click Save.

Set up a class or event for virtual hosting

To set up a class or event type for virtual hosting, complete the following:

  1. Click the App Drawer button then click View All > Setup > Services.

  2. On the Services page, choose either Classes or Events depending on what virtual service you are setting up.

    • To create a new service type, click the Add button.

    • To modify an existing service, click the item you want to modify.

    • To duplicate an existing service type, click the service you want to duplicate. Click Duplicate on the bottom right. The class type is duplicated and named Copy of [name of existing class type]. You can now modify the newly duplicated service as needed.

  5. Click Save or Save and Schedule to save the service type and schedule the service immediately.
