To access the Duplicate Profiles Report, click the App Drawer button then click View All > Reports > Clients > Duplicate Profiles.

The Duplicate Profiles Report is a client report that identifies clients with potentially duplicate accounts based on criteria you set with advanced filters. By default, it checks if the first and last names match, with at least the first four characters matching. You can merge duplicate profiles, including merging staff-associated client profiles.

Key tips

  • This report doesn’t include travel members who have visited your location(s).

  • If you merge a deactivated client profile into an active one, the new profile will also be deactivated after the merge. To learn how to reactivate a deactivated client, see Reactivating a client.

  • If your rewards program is enabled and clients earn points for registration, both profiles will receive the points. After merging, the new profile will have double the registration points. A staff member must manually remove the extra points to ensure the correct total.

Filter the Duplicate Profiles Report

  1. Click Search Criteria.

  2. Select the checkbox for each field you want to use to filter the report.

    • For each field you selected, from the associated list, select whether the field should start with, end with, or contain identical characters.

    • Use the up and down arrows for the number field to select how many characters must be identical for profiles to be considered duplicates.

  3. Click Apply Search Criteria. The Duplicate Profiles Report is displayed with your filters applied.

Merge clients from the Duplicate Profiles Report

  1. Select the checkbox next to each profile you want to merge.

  2. In the Action column, click Merge Clients.

  3. Select which information to retain from each profile by selecting the appropriate option buttons.

    • If you change your mind and decide you don’t want to merge one of the selected profiles, clear the Include In Merge.

  4. Click MERGE.

  5. Review the information that will be retained in the merged profile and click Confirm when you’re satisfied.

Action

When potential duplicate profiles are grouped together, this column will contain a Merge Clients button.
