Manage banked products

Banked products, such as Botox or other unit-based items, allow you to track product usage over time directly from client profiles. This functionality allows your staff members to manage purchased products efficiently, apply them to services, and maintain accurate inventory records.

With future product usage tracking, WellnessLiving streamlines the management of products purchased in advance or in packages. Usage of banked products can also be tracked when the products are set up as add-ons.

What are banked products?

Banked products are items purchased by clients that are stored and tracked in their profiles. These products can be applied toward services over time, giving clients the flexibility to use their purchases when needed.

How they work:

  • Products can be banked when purchased via the Client Portal, Staff Back Office, or Elevate Staff App.

  • Banked products are tracked in the client’s profile under the Service Add-ons tab.

  • Usage and balances are adjusted automatically when products are applied to services.

Key tips before you begin

  • Different behavior will occur based on how you interact with the Buy and Use field, and how many units the client already owns. For example:

    • If a client owns 10 units and requires 15 for the appointment, the Use option is automatically set to 10 and the Buy option is set to 5.

    • If a client owns no units and requires one for the appointment, Use is set to 0 and Buy is set to the required amount.

  • When you increase the Use quantity beyond the available units, the system automatically adjusts Buy to meet the total.

  • Decreasing Buy will reduce Use to match the remaining owned units.

  • You can create packages to offer banked products to your clients in larger quantities.

Enable banked products

  1. Click the App Drawer button then click View All > Setup > Store Configuration > Store Settings.

  2. Set the Enable future product usage store setting to ON, then click Save.

  3. Repeat the following for each product you want to allow clients to bank:

    1. On the side menu, click Products, then click the product in the list.

    2. Set the Usage Tracking toggle to ON, then click Save.

View a client’s banked products

Desktop – Staff Back Office

To view a client’s banked products from the Staff Back Office, complete the following:

  1. Search for a client using the Search button on the Top Nav Bar, then click the client’s name to open their profile.

  2. On the side menu, click Account > Service Add-ons.

    • If the client doesn’t own any banked products, click the Buy add-ons button to visit the store.

    • Click Buy more next to a banked product to buy more of the product for the client.

Mobile – Elevate Staff App

To view a client’s banked products from the Elevate Staff App, complete the following:

  1. Tap the Clients tabs.

  2. In the search box, type the client's information. You can enter the client's name, phone number, email address, or client ID. From the search results, tap the client's profile.

  3. Tap the Options button then tap Service add-ons.

    • Tap Buy more next to a banked product to buy more of the product for the client.

Use a client’s banked products

Desktop – Staff Back Office

To use a client’s banked products from the Staff Back Office, complete the following:

  1. Click the App Drawer button then click View All > Schedule.

  2. Click the appointment you want to use banked products for on the schedule, then click Select add-ons.

  3. Choose the products you want to use:

    • Under CLIENT OWNS, click the Add button next to the banked product(s) you want to use.

    • Under BUY NEW, click the Add button next to the unowned product(s) you want to use.

  4. Enter the number of units of each product you want to Use and Buy with the appointment, then click Add to service. Additional units can be paid for through your store as usual.

Mobile – Elevate Staff App

To use a client’s banked products from the Elevate Staff App, complete the following:

  1. Tap the Schedule tab.

  2. Tap the appointment you want to use banked products towards.

  3. Tap Add-ons.

  4. Find the banked product you want to use, then tap the More button

  5. Enter the number of units of each product you want to Use and Buy with the appointment, then tap Apply. Additional units can be paid for through your store as usual.
