Traveler's Mode is designed for multi-location Enterprise businesses to allow the seamless movement of clients between locations. This functionality provides a shared client database across all Enterprise Locations, enabling staff members to view and manage client information regardless of the location they originally signed up.
Understanding Traveler’s Mode
Traveler's Mode allows staff members at any Enterprise Location to:
Search for clients across all Enterprise Locations.
Add Enterprise clients to their location as travelers.
View and manage travelers while maintaining their home location data integrity.
There are two different ways clients are referred to at businesses with Traveler’s Mode:
Enterprise client – A client who belongs to the HQ database and can be searched across all locations.
Traveler client – A client who is linked to a location other than their home location.
What you can do with Traveler’s Mode
When Traveler’s Mode is enabled for your Enterprise business, you gain access to several additional features:
Search Improvements
Search for clients across the entire Enterprise.
Red and green traveler icons
appear with client profiles to identify Enterprise and traveler clients, respectively.
Profile Overview for Enterprise Clients
Enterprise client profiles, including forms, waivers, and contracts, are in view-only mode.
Key actions like booking, purchasing, and merging are hidden until they are added as a traveler.
Belts and Rewards
Belt history is visible for all locations in view mode for Enterprise clients and editable for travelers.
Rewards and leaderboard functionality are location-specific and activated upon adding the client as a traveler.
Tasks and Notes
Staff can assign and manage tasks for travelers, with location-specific controls.
Notes added in one location are synchronized across all Enterprise Locations.
Traveler Client Functionality
Travelers can book services, purchase products, and earn location-specific rewards.
Relationships and other profile changes are automatically synchronized across all locations.
Travelers can fill in forms or waivers specific to their location.
Getting started with Traveler’s Mode
Before you can start using Traveler’s Mode, complete the following:
Enable Traveler's Mode
Contact WellnessLiving Support to enable Traveler’s Mode.
Search for clients across your business
When searching for clients, click the Options button and set Include enterprise clients to ON to search for clients across all Enterprise Locations.
Add clients as travelers
When viewing an Enterprise client profile, click Add client to your location on the Overview page. The client will then be set as a traveler at your location.
Allow travelers to check in
When travel members visit travel locations, they can check in using the Self Check-In Web App or by scanning their key tags.
If a travel member has checked in using the Self Check-In Web App, their client profile can be accessed through the service’s attendance list.
If a travel member has checked in using their key tag, their client profile will automatically appear in the system.
Key tips for Traveler’s Mode
When Traveler’s Mode is disabled, traveler clients become permanent clients of the location where they were added.
The home location is determined based on the client's Purchase Options or last active location.
Changes made to traveler profiles are recorded in the edit log and visible across all relevant locations.
If a traveler’s home location is permanently closed, a staff member at the Headquarters Location can set the home location for not churned or churned accounts. Alternatively, any staff member can set a new home location for the client by adding a new client. If the client already has a travel member profile at the new home location, it’s automatically merged with the new client profile.
Permissions and Controls
Staff members must have the All Clients staff role permission to search across all locations.
Staff members must have the Manage Clients staff role permission to add Enterprise clients.
Certain actions, such as booking and purchasing, require the client to be added as a traveler.
