Why are assets reserved for a class still bookable for other clients?

Problem

A Book-a-Spot asset has been reserved for a class, as seen in the image below, but a client or staff member can book an asset during the time it should be reserved. Why is this happening and how can I resolve it?

Solution

This problem occurs when you select Service requires assets and This asset is reserved for the entire [service] under Advanced settings for a service after it has already been scheduled. Automatically re-assigning these assets could cause accidental cancellations or schedule conflicts.

To make sure an asset is reserved for a service you have already scheduled, you must manually assign the asset to the service on the schedule.

To do this, follow the instructions below. If the issue persists after completing these steps, please contact WellnessLiving Support.

  1. Click the App Drawer button then click View All > Schedule.

  2. Click the List View button.

  3. Click the Action buttonnext to the service you want to modify.

  4. Modify the service.

    • For a class or event:

      1. Click Edit Class Schedule Details or Edit Event Schedule Details.

      2. Select a date to start applying the schedule change, and then click Next.

      3. Select the sessions you want to edit, and then click Next.

      4. Next to Assets, click the Edit button.

      5. Select the assets to reserve.

      6. Click Next, then click Complete.

    • For an appointment:

      1. Click Reschedule.

      2. Click Next until you reach Selected Assets.

      3. Under Selected Assets, select any Book-A-Spot assets.

      4. Click Reschedule Unpaid.
