Appointment Summary Report

To access the Appointment Summary Report, openthe App Drawer then click View All > Reports > Attendance > Appointment Summary.

The Appointment Summary Report is an attendance report that can be used as an overview of your appointment activity. It displays booking, scheduling, and attendance numbers for your appointments during a selected date range. Summary cards at the top of the page provide an overview of key information in the report.

Note: When filtered by date, the Appointment Summary Report may show a different number of appointments than your schedule. This is because it includes inactive staff and late cancellations, while the schedule only shows active staff and early cancellations.

Summary card

Description

Services

The total number of appointment types scheduled during the selected date range.

Attended

The total number of appointments that were attended by clients during the selected date range.

Booked

The total number of appointments that have been booked for clients during the selected date range.

After the scheduled time for an upcoming booked appointment has passed, it will move to either the Pending, Late Cancels, No Shows, or Attended summary card.

Late Cancels

The total number of clients marked as a late cancel during the selected date range.

Pending

The total number of clients who are expected to attend an appointment during the selected date range but haven’t attended the appointment yet.

No Shows

The total number of clients marked as a no show during the selected date range. No shows are clients who missed an appointment without cancelling it.

Headings in the Appointment Summary Report

Heading

Description

Appointment Name

The name of the appointment.

Clicking an appointment's name opens the Appointment Details Report.

Total

The number of appointments of this type that have been scheduled during the selected date range.

Attended

The number of appointments of this type that have been attended by clients during the selected date range.

Booked

The number of appointments of this type that have been booked for clients during the selected date range.

After the scheduled time for an upcoming booked appointment has passed, it will move to either the Pending, Late Cancel, No Show, or Attended column.

Late Cancels

The number of clients whose attendance status for the appointment is marked as Late Cancel.

Pending

The number of unconfirmed clients that are expected to attend the appointment during the selected date range.


Note: After a service's scheduled time passes, the client's status is set based on the default status in your business policy settings.

No Shows

The number of clients whose attendance status for the appointment is marked as No Show.

Advanced filters in the Appointment Summary Report

Filter

Description

Client Types

Determines which clients to include in the report based on their client type.

Include Empty Sessions

Determines whether to include appointments with no attendees in the report.

Start Time Range

Determines which appointments to include in the report based on the specific time range during which they occurred.

Day of the Week

Determines which appointments to include in this report based on the day(s) of the week they occurred.

Appointments

Determines which appointment types to include in the report.

Check-in Status

Determines whether to include check-ins, late cancels, pending check-ins, or no shows in the report.

Staff

Determines which staff members to include in the report.

Locations

Determines which locations to include in the report.
