Appointment Details Report

To access the Appointment Details Report, open the App Drawer then click View All > Reports > Attendance > Appointment Details.

The Appointment Details Report is an attendance report that displays detailed information about appointments booked during the selected date range. This report can be used to gain a detailed picture of your appointment activity. The summary cards at the top of the page provide an overview of the key information in the report.

Summary card

Description

Services

The total number of appointments scheduled during the selected date range.

Avg Visits Per Service

The number of appointments that were attended by clients compared to the number of appointment bookings during the selected date range.

Attended

The total number of appointments that were attended by clients during the selected date range.

Booked

The total number of appointments that have been booked during the selected date range.

After the scheduled time for an upcoming booked appointment has passed, it will move to either the Pending, Late Cancels, No Shows, or Attended summary card.

Late Cancels

The total number of clients marked as a late cancel during the selected date range.

Pending

The total number of clients who are expected to attend an appointment during the selected date range but have not attended the appointment yet.

No Shows

The total number of clients marked as a no show during the selected date range. No shows are clients who missed an appointment without cancelling it.

Headings in the Appointment Details Report

Heading

Description

Service Name

The name of the appointment.

Staff

The staff member who is scheduled to conduct the appointment.

Location Name

The location at which the appointment is scheduled to take place.

Date

The date of the scheduled appointment.

Time

The time of the scheduled appointment.

Pending

The number of unconfirmed clients that are expected to attend the appointment during the selected date range.

Note: The default status set after a service expires is set in your business policy settings.

Client

The name, email, and profile image of the client who the appointment was booked for.

Relevant details about this customer, such as pass status, waiver status, contract status, special notes, unpaid visits, and account balance will be noted here by small icons. Hover over any icon to learn more.

Status

The client’s status for the appointment. This status represents actions taken on this appointment. Statuses may be Late Cancel, No Show, Booked, or Attended.

Notes

View, edit or add notes associated with the appointment.

If you don’t have the View Client Notes/SOAP Notes staff role permission, this column will be empty. If you have the permission, but it only applies to your own clients, you’ll only be able to view, edit, or add notes for your clients’ appointments in this column.

Advanced filters in the Appointment Details Report

Filter

Description

Note

Determines whether to show only appointments with the selected type of notes.

Check-in Status

Determines whether to include check-ins, late cancels, pending check-ins, or no shows in the report.

Start Time Range

Determines which appointments to include in the report based on the specific time range during which they occurred.

Day of the Week

Determines which appointments to include in this report based on the day(s) of the week they occurred.

Appointments

Determines which appointment types to include in the report.

Client Status

Determines which clients to include in the report based on whether they currently have an active Purchase Option.

Client Types

Determines which clients to include in the report based on their client type.

Staff

Determines which staff members to include in the report.

Locations

Determines which locations to include in the report.
