Expiring Purchase Options Report

To access the Expiring Purchase Options Report, open the App Drawer then click View All > Reports > Clients > Expiring Purchase Options.

The Expiring Purchase Options Report is a client report that shows clients with expiring Purchase Options during a selected date range. The summary cards at the top of the page provide an overview of the key information in the report.

Use this report to see how clients are using different Purchase Options and to follow up with those whose options are about to expire.

Summary cards in the Expiring Purchase Options Report

In addition to the summary cards listed in the table below, summary cards corresponding to any custom client types you have created will also be available.

Description

Total Expired Passes

The total number of Purchase Options that expired during in the selected date range.

Total Passes Expiring In Next 30 Days

The total number of Purchase Options set to expire in the next 30 days from the selected date range.

Total Passes Expiring In Future

The total number of Purchase Options set to expire more than 30 days from the selected date range.

Active Pass Holder

The total number of active pass holders whose Purchase Option is expiring.

Active Member

The total number of active members whose Purchase Option is expiring.

Headings in the Expiring Purchase Options Report

Heading

Description

Client

The name, email, and profile image of the client associated with the Purchase Option.

Relevant details about this customer, such as pass status, waiver status, contract status, special notes, unpaid visits, and account balance will be noted here by small icons. Hover over any icon to learn more.

Pass Type

The name of the Purchase Option. Click the Purchase Option to view the Purchase Option on the Passes & Memberships section of the associated client’s profile.

Location Name

The location at which the client purchased the Purchase Option.

Last Visit

The last service that the client attended at one of your locations is listed here, along with the date, time, and staff member for that service.

Visits Remaining

The number of visits remaining on the Purchase Option. If the Purchase Option is not limited by visits, this entry will read Unlimited.

Other Active Purchases

If the client has other active Purchase Options associated with their account, Yes will be listed. If the client does not have other active Purchase Options associated with their account, No will be listed.

Expiry Date

The date on which the Purchase Option will expire.

This date is also labeled to indicate how soon the expiration date will occur. For example, if a Purchase Option will expire in September and it is currently August, the Next month label will appear.

Advanced filters in the Expiring Purchase Options Report

Filter

Description

Client Status

Determines which clients to include in the report based on whether they currently have an active Purchase Option.

Client Groups

Determines which clients to include in the report based on their client group.

Asset Purchase Options

Determines which asset Purchase Options to include in the report. Asset Purchase Options are Purchase Options with Asset selected as the Purchase Option Service Category.

Package Purchase Options

Determines which package(s) to include in the report.

Auto-Renew

Determines which Purchase Options to include based on whether auto-renew is on or off.

Expired Purchase Options

Determines whether to include Purchase Options in the report that are expired or close to expiration.

Client Types

Determines which clients to include in the report based on their client type.

Appointments Purchase Options

Determines which appointment Purchase Options to include in the report.

Class & Events Purchase Options

Determines which class/event Purchase Options to include in the report.
