A custom template is a type of automated marketing campaign for engaging existing and prospective clients to increase both retention and conversion rates. After you create a template, you can use it to send messages manually or automatically via email, SMS, or push notification to an individual client, or a group of clients. Templates can be modified before being sent to clients.

Key tips before we begin

  • Please remember that there is a character limit of 102,400 characters for email templates. We also recommend avoiding complicated HTML code, JavaScript, or loading scripts in email templates, as these aren’t supported by all mail receivers.

  • You can send a test email by clicking the Send test email button and entering an email address to receive it.

    • If you send a test email to a client or staff member using WellnessLiving, their notification settings won’t apply to the test email.

    • The test email will show placeholder information for certain variables, like [PasswordMessage] showing as 0123456789.

  • If you want to add a video to an email template, you can add a video hosted on an external website using the visual editor. For more information, see How do I add a video to an email template?

  • Clients must have the News and Updates option set to ON to receive custom email template messages. This includes messages sent using the QUICK Contact option. For more information, see Changing a client’s notification settings.

To create or modify a custom email template

  1. Click the App Drawer button then click View All > Marketing > Custom Templates.

  2. Under CUSTOM TEMPLATES:

    • To create a new custom template, click Add template.

    • To modify an existing template, click the Edit this template button under Email.

  3. Under TEMPLATE INFORMATION, configure the following:

    • Under Template name, enter a name for the template. This field is required.

    • Under Description, enter a description for the template. This isn’t a required field. If you don’t enter a description, the default description of the marketing campaign will be used.

  4. Under SEND RULES, configure the following:

    • To target specific client types or groups, set the Send only to specific client types or the Send only to specific client groups option to ON, and then check the boxes next to each client type/group you want to receive the email.

  5. Make sure that Email is selected as the format you’re editing.

    • You can change formats at any time by clicking Email, SMS or Push.

  6. Under Compose email click View sender’s information and configure the sender’s email information. For more information, see Automated email template settings.

  7. Under Email content, make your changes to the template’s content using the default editor or click Visual Editor for more advanced options. For more information, see Modifying an email template using the default editor and Modifying an email template using the visual editor.

    • Click View email variables to display a list of variables that can be used in your template. To add a variable to your template, click the Copy to clipboard button next to a variable, then paste it in the Email content field. For more information, see Email variables. To activate the campaign, set the Activate email option to ON.

  8. Click Save. A confirmation popup is displayed prior to accepting any changes in situations where clients will be impacted by send rule changes.

To create or modify a custom SMS template

  1. Click the App Drawer button then click View All > Marketing > Custom Templates.

  2. Under CUSTOM TEMPLATES:

    • To create a new custom template, click Add template.

    • To modify an existing template, click the Edit this template buttonunder SMS.

  3. Under TEMPLATE INFORMATION, configure the following:

    • Under Template name, enter a name for the template. This field is required.

    • Under Description, enter a description for the template. This isn’t a required field. If you don’t enter a description, the default description of the marketing campaign will be used.

  4. Under SEND RULES, configure the following:

    • To target specific client types or groups, set the Send only to specific client types or the Send only to specific client groups option to ON, and then check the boxes next to each client type/group you want to receive the SMS.

  5. Make sure that SMS is selected as the format you’re editing.

    • You can change formats at any time by clicking Email, SMS or Push.

  6. Under SMS content, make your changes to the template’s content using the text editor.

    1. Click View SMS variables to display a list of variables that can be used in your template. To add a variable to your template, click the Copy to clipboard buttonnext to a variable, then paste it in the SMS content field. For more information, see SMS variables.

  7. To activate the campaign, set the Activate SMS option to ON.

  1. Click the App Drawer button then click View All > Marketing > Custom Templates.

  2. Under CUSTOM TEMPLATES:

    • To create a new custom template, click Add.

    • To modify an existing template, click the Edit this template button under Push.

  3. Under TEMPLATE INFORMATION, configure the following:

    • Under Template name, enter a name for the template. This field is required.

    • Under Description, enter a description for the template. This isn’t a required field. If you don’t enter a description, the default description of the marketing campaign will be used.

  4. Under SEND RULES, configure the following:

    • To target specific client types or groups, set the Send only to specific client types or the Send only to specific client groups option to ON, and then check the boxes next to each client type/group you want to receive the push notification.

  5. Make sure that Push is selected as the format you’re editing.

    • You can change formats at any time by clicking on Email, SMS or Push.

  6. Under Push notification content, make your changes to the template’s content using the text editor.

    • Variables aren’t used in push notifications.

  7. To activate the campaign, set the Activate push option to ON.

  8. Click Save. A confirmation popup is displayed prior to accepting any changes in situations where clients will be impacted by send rule changes.
