A client’s unpaid visits can be reconciled using an accepted payment method or a Purchase Option applicable to the service.
Session passes can be configured to automatically pay for any previous unpaid visits upon auto-renew.
For clients with multiple active Purchase Options, the one with the highest priority level pays for unpaid visits by default. If priorities are the same, the earliest expiration date is used first.
Note: Purchase options can’t be used to reconcile visits that occurred before it’s activation date.
Reconcile unpaid visits from:
Reconcile new unpaid visits from the store
To reconcile new unpaid visits from the store, complete the following:
Sell the client an applicable purchase option
After completing the purchase, click Reconcile Unpaid Visits to view a list of unpaid visits.
Select the checkbox next to each visit you want to reconcile.
At the bottom of the page, click Reconcile Unpaid Visits.
If you use a session pass to reconcile a visit that occurred prior to the session pass’s start date, the start date will change to the date on which the reconciled visit occurred.
Reconcile an unpaid appointment or asset reservation from the schedule
To reconcile an unpaid appointment or asset reservation from the schedule, complete the following:
Click the App Drawer button then click View All > Schedule.
On the Schedule page, select the appointment.
In the Paid with field, select the client’s existing Purchase Option from the list to automatically apply the payment.
The Paid with field will be inactive if there is no applicable Purchase Option available. Click Pay now under Subtotal to sell the client a Purchase Option in the store. For more information, see Making a sale.
Reconcile multiple visits in a day for a single client and their relationships from the schedule
To reconcile multiple visits in a day for a single client and their relationships from the schedule, complete the following:
Click the App Drawer button then click View All > Schedule.
On the Schedule page, select the appointment.
In the Paid with field, select the client’s existing Purchase Option from the list to automatically apply the payment.
If the client does not have any existing Purchase Options, click Pay now to sell the client a Purchase Option in the store. For more information, see Making a sale.
Select Pay for all of today’s unpaid visits.
In the Unpaid services dropdown for each visit, click Use another Purchase Option
Select an available Purchase Option or click Go to store to sell the client a new Purchase Option.
Click Complete. If payment is needed, click Checkout.
Reconcile an unpaid class or event session from the attendance list
To reconcile an unpaid class or event session from the attendance list, complete the following:
Click the App Drawer button then click View All > Schedule.
Select the class or event session you want to reconcile then click Attendance list.
Select the client who has not paid and then click the Pay Now button .
Reconcile unpaid visits from a client’s profile
To reconcile unpaid visits from a client’s profile, complete the following:
On the Top Nav Bar, click the Search button , enter the client’s information in the box, and select the client’s name.
On the side menu, click Attendance then click Upcoming Schedule to find a scheduled visit or Attendance History to find a past visit.
Search for the unpaid visit. Under the Paid With column, click the Edit button .
Select a payment option from the list:
To pay with a Purchase Option that the client owns:
Select an existing applicable pass or membership then click the Apply button
.
If the appointment is recurring and you wish to reconcile all upcoming unpaid bookings:
Select Pay Now then click the Apply button .
If the client has applicable Purchase Options, select the desired one, toggle Reconcile other unpaid visits using this Purchase Option? to ON, and click Confirm to pay for all future unpaid bookings.
To pay by purchasing a n ew Purchase Option from the store:
Select Pay Now then click the Apply button .
If the client has no applicable Purchase Option, you’ll be redirected to the online store to complete the sale. For more information, see Making a sale.
