You can modify or cancel a scheduled class from the schedule or the setup menu. You can also restore a canceled class from the schedule.

Key tips before you begin

  • If you cancel a class after a client’s attendance status has been updated to Late cancel, the client’s attendance status will be automatically changed to Early cancel. The cost of the visit will be refunded to the client, but the late cancellation charges won’t be refunded. You must manually issue the late cancellation refund to the client.

  • If a class is accidentally canceled and you have a Class Canceled or Recurrent Class Canceled notification enabled, you can search or filter the Email History Report to see which clients were affected by the cancellation.

  • If the Display as canceled on the schedule setting is set to ON, clients will be able to view canceled classes on the Class Booking page of their Achieve Client App.

  • Modifying the START DATE or END DATE of a single class session will automatically remove all the clients from the class’s attendance list. However, modifying the START DATE or END DATE of a class in a recurring booking won’t remove clients from the class’s attendance list.

Modify, cancel, or restore a class from the schedule

Modify a class

To modify a class from the schedule, complete the following:

  1. Click the App Drawer button then click View All > Schedule.

  2. Find the class you want to modify on the schedule.

    1. If you’re viewing the schedule in Calendar view, click the class on the schedule. Next to the class’s name, click the Options button and select Modify Schedule.

    2. If you’re viewing the schedule in List view, click the Options button next to the class and select Edit Class Schedule Details.

  3. Select the dates for which you want to modify the class.

    • To modify the individual class, select Single day.

    • To modify multiple classes, select Multiple days, then select the desired date range. Click Next, then select the desired sessions.

  4. Click Next.

  5. Click the Edit button next to each field you want to modify and make any necessary changes. When all your changes are made, click Next.

  6. Determine whether you want to notify clients of changes by selecting the Send email to affected client, the Send SMS to affected client, and/or the Send push to affected client checkboxes. Click the corresponding Customize option to edit the notifications, then click Next.

  7. Click Complete.

Cancel a class

Desktop – Staff Back Office

To cancel a class from the schedule in the Staff Back Office, complete the following:

  1. Click the App Drawer button then click View All > Schedule.

  2. Find the class you want to cancel on the schedule.

    • If you’re viewing the schedule in Calendar view, click the class on the schedule. Next to the class’s name, click the Options button and select Cancel Class.

    • If you’re viewing the schedule in List view, click the Options button next to the class and select Cancel Class.

  3. Select the dates for which you want to cancel the class.

    • To cancel the individual class, select Single day.

    • To cancel multiple classes, select Multiple days, then select the desired date range. Click Next, then select the desired sessions.

  4. Click Next.

  5. Determine whether you want to notify clients of the cancellation by selecting the Send email to affected client, the Send SMS to affected client, and/or the Send push to affected client checkboxes. Click the corresponding Customize option to edit the notifications, then click Next.

  6. Click Complete.

Mobile – Elevate Staff App

Note: If client notifications are enabled for class cancellations, affected clients are automatically notified even if you choose not to notify them in the Elevate Staff App. For more information, see Enabling or disabling staff and/or client notifications per service.

To cancel a class from the schedule in the Elevate Staff App, complete the following:

  1. Tap the Schedule tab.

  2. Tap the class you want to cancel in the schedule.

  3. In the top-right corner, tap the Action button .

  4. Tap Cancel Session.

  5. Under Cancellation start date, select a start date for the cancellation.

  6. Under Cancellation end date, select an end date for the cancellation. If you want to cancel all future dates for the class, set All Sessions Going Forward to ON. Tap Next.

  7. If multiple sessions occur in the selected time period, select which class sessions are affected by the cancellation. Tap Next.

  8. Select whether to send an email or SMS message notification to the affected staff members and clients by setting the available notification options to ON. Tap Next.

  9. To display canceled sessions of the class on the schedule, set Display as canceled on schedule to ON.

  10. Verify your changes, then tap Complete.

Restore a class

To restore a class from the schedule, complete the following:

  1. Click the App Drawer button then click View All > Schedule.

  2. Switch the schedule to List view .

  3. Find the class you want to restore on the schedule. Canceled classes are only displayed if the View canceled classes/events setting under Schedule settings is set to ON.

  4. Next to the class, click the Options button and select Restore canceled classes.

  5. Select the dates for which you want to restore the class.

    • To restore an individual class, select Single day.

    • To restore multiple classes, select Multiple days, then select the desired date range. Click Next, then select the desired sessions.

  6. Click Complete.

To modify a class from the Setup menu, complete the following:

  1. Click the App Drawer button then click View All > Setup > Services > Classes.

  2. Click the class you want to modify, then click Manage Schedule.

  3. Find the class you want to modify. Under the Action column, click the Action button then click Edit.

  4. Select the date range you want to modify sessions during, then click Next.

  5. Select the individual sessions you want to cancel, then click Next.

  6. Click the Edit button next to each field you want to modify and make any necessary changes. When all your changes are made, click Next.

  7. Determine whether you want to notify clients of changes by selecting the Send email to affected client, the Send SMS to affected client, and/or the Send push to affected client checkboxes. Click the corresponding Customize option to edit the notifications, then click Next.

  8. Click Complete.

To cancel a class from the Setup menu, complete the following:

  1. Click the App Drawer button then click View All > Setup > Services > Classes.

  2. Click the class you want to cancel, then click Manage Schedule.

  3. Find the class you want to cancel. Under the Action column, click the Action button , then click Cancel.

  4. Select the date range you want to cancel sessions during, then click Next.

  5. Select the individual sessions you want to cancel, then click Next.

  6. Determine whether you want to notify clients of the cancellation by selecting the Send email to affected client, the Send SMS to affected client, and/or the Send push to affected client checkboxes. Click the corresponding Customize option to edit the notifications, then click NEXT.

  7. Click Complete.
