Using attendance lists

The attendance list displays the details for all clients booked into a class or event. It includes essential information that you can view or update, such as a client's check-in status and payment details. From this list, you can easily book clients into the session, access each client’s profile, view the wait list, and contact attendees via email, SMS, or push notification.

Access your attendance list

You can access the attendance list right from the schedule.

  1. Go to the App Drawer > View All > Schedule.

  2. Select the name of the class or event.

  3. Click View Attendance List.

Attendance list session options

The attendance list offers you quick access to actions associated with the session.

  • Click the name of booked assets like rooms or equipment displayed above the attendance list to view the asset layout.

  • Use < Prev Class or Next Class > to switch between any scheduled sessions.

  • Use the Previous or Next of Same Type buttons to switch between sessions for the same service or event that occur within a 9-day range.

  • Click the Action button to substitute instructor, print, export to CSV, copy direct booking URL, customize your attendance list, or cancel the session.

For multi-session events, click View enrolment list to see a summary of client attendance across all scheduled sessions.

Customize your attendance list

You can customize the attendance list by choosing which client details to display. Add, remove, or reorder columns to tailor the list to your business requirements.

To customize the view settings from your attendance list:

  1. Click the Action button > Customize.

    • Update or reorder your Selected columns.

    • Customize the client details displayed in the attendance list by setting the Email address, Client ID, or Phone number toggles to ON.

    • Set the Profile picture toggle to ON to display the client’s photo.

  2. Click Save.

When viewing the attendance list, use the Sort by drop-down menu on the left to change the order the list is shown.

The attendance list helps you to track attendance, manage payments, monitor client progress, and [client icons] to help you easily identify key information. Hover over the icons in the attendance list for full tooltips and linked actions.

The Client Name column displays details like the client’s name, profile picture, ID, phone number, and email address, and you can click the name to view the profile.

Here’s an overview of the available options and what each column represents.

Header

Icon & Description

#

  • Number reflects the order of when clients booked into the service.

  • The client was promoted from the wait list to the attendance list.

Status

Tracks client attendance status such as:

  • Booked

  • Pending

  • Checked-in

  • Early cancel

  • Late cancel

  • No-show

Click the appropriate icon to update the status of each client.

Remaining

Indicates how many visits the client has remaining. Displays when the client is using their last visit left on a session pass or membership.

Paid With

Displays the payment status or method of payment for the session such as:

  • Not Paid

  • Drop-in

  • Purchase Option (by name)

  • Event Pass

  • Wellhub

  • ClassPass

Click the pencil Pencil WL to change the payment status or apply payment with the client’s Purchase Option.

If a client’s Purchase Option is nearing expiry, will be displayed. To view the expiry date, simply hover over the icon.

Booked By

Displays the name of the person who booked the service along with an icon indicating where the booking was made, such as:

  • Elevate Staff App

  • Widget

  • Achieve Client App

  • Client Portal

  • Explorer

  • ClassPass

  • Wellhub

  • Reserve with Google

Hover over icons to display the date and time of the booking.

Assets

Displays the name of the client’s booked assets for this session.

Forms

Displays the name of forms associated with the service and a status indicator such as:

  • 🔴 Incomplete

  • 🟢 Complete

Payment Options

You can initiate a purchase from the attendance list by selecting:

  • QUICK Buy to sell specific products linked to the service directly from the attendance list in just a few clicks.

  • Pay Now to open the shopping cart and complete the standard checkout process.

Notes

Click to View View Notes or Add Add notes QUICK or Soap notes for each client.

Action Menu

The action button Action button in the last column offers access to client actions such as:

  • View profile

  • Flag client

  • Add form

  • Send email

  • Send SMS

  • Cancel visit

Belt Details

Businesses using belts to track client progress can view information about a client’s current belt level and whether they’re ready for promotion. Customize your attendance list to include headings with belt details such as:

  • Current Belt

  • Belt Category

  • Time at Rank

  • Attendance at Rank

  • Conditions for promotion

  • Ready for Promotion

Select a different belt category from the dropdown to display belt details from another category. You can also promote multiple clients to their next belt level from the attendance list.
