Visits Remaining Report

To view the Visits Remaining Report, open the App Drawer then click View All > Reports > Attendance > Visits Remaining.

The Visits Remaining Report is an attendance report that displays details about each client who has visits remaining on Purchase Options that are active during the selected date range. This report can be used to gain insight about client use of Purchase Options, or to manage communications with clients who have visits remaining and expiring soon. The summary cards at the top of the page provide an overview of the key information in the report.

Note: For data security purposes, the Visits Remaining Report doesn’t have an export option. If you need to export this report, please contact our support team at [email protected].

Description

Total Active Purchase Options

The total number of active Purchase Options with remaining visits during the selected date range.

Total Active Clients

The total number of clients who have active Purchase Options with remaining visits during the selected date range.

Unearned Revenue

The sum of all values under the Unearned Revenue heading.

Columns in the Visits Remaining Report

Column

Description

Client

The name, email, and profile image of the client with visits remaining on a Purchase Option is listed in this column. Relevant details about this customer, such as pass status, waiver status, contract status, special notes, unpaid visits, and account balance will be noted here by small icons. Hover over any icon to learn more.

Purchase Option

The name of the Purchase Option that has visits remaining.

Activation Date

The date and time that the Purchase Option was initially activated.

Expiration Date

The date that the Purchase Option expires. When the Purchase Option has no expiration date, this column is labelled Never Expires.

Remaining Visits

The number of remaining visits or the amount of time left on the Purchase Option. When the Purchase Option is unlimited, this column is labelled Unlimited.

Price Per Session

The value of each visit.

This is determined by the Approximate revenue per session from the membership or session pass setup. When no Approximate revenue per session is set, this is calculated by dividing the cost of the Purchase Option, before taxes and surcharges, by the number of visits.

Total Value

The value of the Purchase Option before taxes and surcharges.

For passes, this is based on the original price.

For memberships, this is calculated based on the original price, the length of the contract, and the frequency of billing. For example, a one-year membership that costs $100/month has a total value of $1200.

Earned Revenue

The value of visits that were booked and attended with this Purchase Option. This is based on the number of visits the client has made with the Purchase Option and the Price Per Session.

Upcoming Revenue

The value of upcoming visits that have been booked but not yet attended with this Purchase Option. This is based on the number of visits the client has booked with the Purchase Option and the Price Per Session.

Deferred Revenue

The value of visits that haven't been booked or attended with this Purchase Option. This is based on the value of the Purchase Option and the Price Per Session.

Unearned Revenue

The amount of revenue that your business could miss out on if the client doesn't use the remaining visits. This amount is calculated based on the type of associated Purchase Option, the cost of the Purchase Option, and the number of visits, minutes, or days remaining on the Purchase Option.

Last Visit

The most recent visit the client has made to your business using the Purchase Option.

Next Visit

The next booked visit the client has with your business using the Purchase Option.

Lifetime Visits

The total number of visits the client has made with your business using the Purchase Option.

Period Visits

The number of visits the client has attended at your business.

Booked Visits

The number of visits paid for using the Purchase Option that are booked.

Late Cancels

The number of visits paid for using the Purchase Option that were late canceled.

No Shows

The number of visits paid for using the Purchase Option that were no shows.

Advanced filters in the Visits Remaining Report

Filter

Description

Client Status

Use this filter to determine which clients to include in the report based on whether they currently have an active Purchase Option.

Client Groups

Use this filter to determine which clients to include in the report based on their client group.

Note: This filter will pull any relevant information from the available fields. For example, if you filter for groups A, B, and C, the filter will find clients from group A, group B, group C, and any combination thereof, as opposed to only finding clients who belong to all three groups.

Client Types

Use this filter to determine which clients to include in the report based on their client type.

Purchase Options

Use this filter to determine which types of Purchase Options to include in the report. You can expand each Purchase Option type to filter by specific Purchase Option(s).

Remaining Visits

Use this filter to determine which clients to include in the report based on the number of visits remaining on their Purchase Option. Some Purchase Options, such as Purchase Options with unlimited visits, will be hidden unless you set the From option to “0”.
