Client profile overview page

The Overview page in a client’s profile provides detailed information about the client. Here, you can perform various actions, such as modifying a client's profile details, booking them into services and assets, selling products and services through the store, and sending emails to them, and more.

Key tips

  • The client profile Overview page will appear slightly different on smaller resolution screens, with the Alerts section above the Summary Cards.

  • A guest profile must be activated and converted to a client profile before staff members can manage the client profile. Users with a guest profile also can’t earn rewards points for their purchases and can’t receive any notifications except for the Purchase Receipt notification. Primary actions

Action

Description

To book a service

Click Book and then select Class, Event, Appointment, Asset, or Gym Visit from the list to book a service for the client.

To make a purchase

Click Make a Purchase to sell products and services for the client from the store.

To contact a client

Click Contact to send an email, SMS, or push message to the client. You can also resend the Welcome email or send a password reset email from here.

To activate or deactivate a client

Set the Active option to OFF to deactivate the client in your business. To reactivate a client, set the Active option to ON.

To switch to a staff member’s profile

This option only displays if you’re viewing a staff member’s client profile.

Click the Action button then Switch to staff profile to view the staff member’s profile.

To customize the client profile

Click the Action button then Customize. Set the sections you want to hide from the profile to OFF, and set the sections you want to show to ON, then click Save.

Action button

A button that contains multiple options.

  • Click the Action button, then click Edit client details to view the client’s Profile details page.

  • Click the Action button, then Merge clients to begin merging this client profile with another.

Summary icons

Various icons appear in this section that summarize the state of the client’s account and profile. Hover over an icon for more information.

UID

The client’s unique identifying number as a WellnessLiving user. Click the Copy to clipboard option to copy the UID.

Home location

The location the client’s purchases are assigned to by default.

Last logged in

The date and time the client last accessed your business using WellnessLiving.

Email address

The client’s email address. Click the Copy to clipboard option to copy the email.

Phone number

The client’s phone number. Click the Copy to clipboard option to copy the number.

Age and date of birth

The client’s age in years and months, and the client’s birthday.

Gender

The client’s gender.

Client since

The date the client first signed up with your business on WellnessLiving. Click the Edit button to change the date.

Vaccination status

The client’s current vaccination status. Click the Edit button to change the status.

Client ID

The client’s unique identifying number as a client of your business.

  • Click the Generate button to create a new client ID for the user.

  • Click the Copy to clipboard option to copy the UID.

Client type

The client’s current assigned client type. Click the Edit button to change the client type.

Relationships

Number of relationships

The total number of relationships the client has.

Add

Click Add to add a new relationship. Search for an existing client or create a new client, select the relationship status, then click Add. The relationship will appear on both client profiles.

  • Click the Action button, then click Hide to hide the section from the profile.

Relationship

Each relationship is listed.

  • Click the name of a relationship client to view their client profile.

  • Click the Action button next to a relationship client for more options:

    • Change relationship type – Change the type of relationship these two clients have.

    • Remove relationship – Remove the relationship between the two clients.

Summary cards

Summary card

Description

Account balance

The client’s current account balance. Negative amounts are shown in red.

Click the card to view the client’s Billing & Account Balance page.

Last visit

The date the client last attended a service at your business.

Click the card to view the visit on the client’s Attendance History page.

Next visit

The date the client will next attend a service at your business.

Click the card to view the visit on the client’s Upcoming Schedule page.

Referrals

The number of clients the client has referred to your business.

AVG monthly value

The average amount of money the client spends in one month at your business.

Click the card to view the client’s Transactions page.

Lifetime visits

The total number of visits the client has attended.

Click the card to view the client’s Attendance History page.

Lifetime value

The total amount of money the client has spent at your business.

Click the card to view the client’s Transactions page filtered by all-time.

Tasks

Description

Number of tasks

The number of tasks completed out of the number of existing tasks. For example, 1/2 Tasks completed.

Add

Click Add to begin creating a new task. Enter the task information, then click Save. The task will be added to the client profile and assigned to the selected staff member.

  • Click the Action button, then click Move up to move the section up.

  • Click the Action button, then click Move down to move the section down.

  • Click the Action button, then click Hide to hide the section from the profile.

Due date

The date and time the task should be completed by.

Task

The name of the task and a description. Click the name of the task to edit it.

Status

The current status of the task. To change the status, click the current status, then select the new status.

Added on

The date and time the task was created.

Actions

A button that contains multiple options for each task.

  • Click the Action button, then click Edit to modify the task.

  • Click the Action button, then Delete to remove a task.

Notes

Number of notes

The total number of notes associated with the client profile.

Add

Click Add to begin creating a new note.

  • To flag a client from booking any services, set the Add flag option to ON and then select the location where you want the restriction to apply.

  • Under Visible to, choose who can view the note. Your options are: My eyes only, Staff only, or Staff and client.

  • To display the note’s content when hovering on the note icon, set the Display note when hovering over the note icon or appointment on the schedule option to ON. The note icon can be found in areas in the WellnessLiving software where the client’s profile information is displayed, such as reports, attendance lists, and more.

  • Under Note content, enter the information for the note about the client. You can adjust the font styles and add links in the note using the provided text editor.

When you’re done, click Save. The note is added to the client profile. If you flagged the client, the flag will now be applied based on your selections.

Note

Each note is displayed in a list.

Hover over a note to reveal the Edit and Delete buttons.

  • Click the Edit button to modify a note.

  • Click the Delete button to delete a note. This option will be greyed out if the client profile is flagged. Edit any related notes to remove the flag(s) to delete the related note(s). If the flag was added by another user and is hidden from you, that user must be contacted to remove the flag.

Note: When a note is added to a client profile, it is automatically timestamped with the date, time, and staff member's name. If the note is modified, the last modified by staff name, date, and time will be shown in orange, with a hover feature for the original added date and staff member.

Active Purchase Options

Purchase Options

The client’s three most recently bought Purchase Options are listed.

  • Listed Purchase Options display the number of used, upcoming, remaining, and past visits. To view the visits in more detail, click the number under these headings to go to the client’s Upcoming Schedule or Attendance History pages.

  • If any of the listed Purchase Options are on hold, the start and end dates of the hold are also displayed.

  • Drop-ins aren’t displayed on a client’s Overview page. To see a client’s available drop-ins, view their Passes & Memberships page.

Attendance

Upcoming

When this tab is selected, the Sessions area will display the client’s next three visits.

Previous

When this tab is selected, the Sessions area will display the client’s last three visits.

Sessions

Displays detailed information about the client’s previous or next three visits.

  • Click the name of the service to view the attendance list.

  • Click the name of the staff member to view the staff member’s profile.

View all

Click View all to view the client’s Upcoming Schedule or Attendance History pages.

QUICK check-in for today

Location

The location you’re checking the client in to. By default, the client’s home location is selected.

Action button

  • Click the Action button, then click Move up to move the section up.

  • Click the Action button, then click Move down to move the section down.

  • Click the Action button, then click Hide to hide the section from the profile.

Services

Detailed information about the services the client can be QUICK checked in to are listed.

  • Click the service name to view the attendance list.

  • Next to the service, click Check-in or Check-in & Pay to check the client in.

    • Check-in will allow the client to use any applicable Purchase Options they may have. If no suitable Purchase Option is available, the client will be checked in unpaid.

    • Check-in & Pay allows you to select an applicable Purchase Option and whether the client will be billed for the selected Purchase Option online or if they will pay in person.

Show more/Show less

Click this option to display more or fewer entries.

Activity

Activity

A list of activities completed by the client. These activities include service bookings and attendance, payments, purchases, and more.

View all

Click View all to view the client’s Activity page.

Alerts

Number of alerts

The total number of alerts associated with the client profile.

Alerts

Alerts about a client, such as outstanding payments, update reminders, and more. Click the link within the alert to learn more and resolve the related issue.

Forms

Number of forms

The number of incomplete forms associated with the client profile.

Add

Click Add to add a form to the client profile. Select one or more forms from the list, then click Add. The incomplete form is added to the client profile.

Action button

  • Click the Action button, then click Move up to move the section up.

  • Click the Action button, then click Move down to move the section down.

  • Click the Action button, then click Hide to hide the section from the profile.

Forms

The three most recently added forms are listed.

  • Click a completed form to view the form’s responses.

  • Click an incomplete form to fill in the form. Enter your responses, then click Save draft to save the form for later or Save to complete it.

View all

Click View all to open the client’s Forms page.

Client groups

Number of client groups

The total number of client groups the client is associated with.

Add

Click Add to manually add the client to a new client group. Select the appropriate client group and the client will be added.

Note: Clients can't be manually added to some groups based on the group settings.

  • Click the Action button, then click Move up to move the section up.

  • Click the Action button, then click Move down to move the section down.

  • Click the Action button, then click Hide to hide the section from the profile.

Client groups

The client groups that the client is associated with are listed. Hover over a group, then click the Delete button to remove the client from the group.

Rewards

Note: This profile section won’t be displayed if your business has disabled the rewards program.

Click the Action button for more options:

  • Enable rewards program – Set this option to ON and click Change status in the popup window to allow the client to earn rewards points.

  • Go to Earn Points tab – Open the Earn Points page in the client’s profile.

  • Go to Prizes tab – Open the Prizes page in the client’s profile.

  • Reset points – Reset the client’s rewards points.

  • Move up – Move the section up.

  • Move down – Move the section down.

  • Hide – Hide the section from the profile.

Reward points

The client’s total earned reward points are listed.

Belts

Note: This card won’t be displayed if you’ve disabled belts for your business. For more information, see Setting up your available services.

The total number of belts associated with the client profile.

Add

Click Add to add a new belt to the client profile. In the list, select the belt that you want to add, then click Add. The belt is added to the client profile.

Action button

  • Click the Action button, then click Hide to hide the section from the profile.

Detailed information about the client’s belts and belt levels are displayed.

View all

Click View all to view the client’s Belt History page.
