View a client’s attendance history

You can view all the services a client has booked and assets they have used on their attendance history, which can be found through their client profile. Using the attendance history, you can change the client’s attendance status and reconcile unpaid visits.

View a client’s attendance history

To view a client’s attendance history, follow these steps:

  1. On the Top Nav Bar, click the Search button and enter the client’s information in the box.

  2. Click the client's name to open their profile.

  3. On the client’s menu, click Attendance > Attendance History.

    • To learn how to customize and filter the report, see Viewing a report.

    • To export the report, click Export. To learn more, see Exporting a report.

    • To print the report, click Print.

Summary cards in the attendance history

The summary cards at the top of the page provide an overview of the key information in the report.

Note: Each summary card displays the total number of sessions the client was booked into regardless of their attendance status, except for Lifetime Visits, which only includes visits where the client’s attendance record is marked as Attended.

Description

Total Sessions

The total number of sessions the client was booked into during the selected date range.

Total Classes

The total number of classes the client was booked into during the selected date range.

Total Events

The total number of events the client was booked into during the selected date range.

Total Gym Visits

The total number of gym visits the client was booked into during the selected date range.

Total Appointments

The total number of appointments the client was booked into during the selected date range.

Total Assets

The total number of assets used by the client.

Wait List

The total number of services for which the client is on a wait list.

Booking Request

The total number of booking requests made by the client.

Lifetime Visits

The total number of services this client has attended.

The total in this summary card always represents the total attended services for the selected client. Applying filters to the report won’t change this number.

Headings in the attendance history

Note: You can customize the view and choose which columns to hide or display, just like when viewing a report.

Heading name

Description

Date and Time

The date and time at which the service occurred, and an icon that represents the payment status.

Service Details

The name of the service, the location the service was booked at, and the individual who booked the service.

Asset

The name of the asset booked for the service, if applicable.

Click the View asset layout button to see the booked asset in context.

Staff Name

The name of the staff member who conducted the service, along with their photo.

Paid With

The payment status for the service. Click the Edit button to change the payment method or reconcile an unpaid visit.

Capacity

The number of available spots and the total number of spots allowed for the service.

Status

The client’s attendance status for the service. Statuses include Attended, Early Cancel, Late Cancel, No-Show, Booked, and Pending.

Click the Edit button to change the client’s attendance status.

Forms

The forms associated with the service booking. You can monitor the completion status through the green and red status indicators.

If the form is complete, staff members with the corresponding staff role permissions can click on the form to view the responses. If the form is incomplete, they have the option to edit it.

Action

Click the Action button in this column to open a menu containing the following options:

  • Cancel Session – Select this option to cancel the client’s booking for this session.

  • Cancel All Recurring Sessions – Select this option to cancel all recurring sessions for the service.

Note: Visits that have been removed from the client’s attendance history won’t display as visits in the corresponding client reports.
