Booking Requests Report

To view the Booking Requests Report click the App Drawer button then click View All > Reports > Clients > Booking Requests.

The Booking Requests Report is a client report that displays all appointment and asset bookings that have been requested during the selected date range. The summary cards at the top of the page provide an overview of the key information in the report.

Key tips

  • When creating a dashboard, the Booking Requests Report is selected by default.

  • You can use this report to accept or deny booking requests.

  • Denied or unapproved requests are displayed based on the submission date, while accepted requests are shown based on the booking date. For example, a request submitted on January 24 for a February 4 appointment will appear in the January report until accepted, after which it will appear in the February report.

Summary cards in the Booking Request Report

In addition to the summary cards listed in the table below, summary cards corresponding to any custom client types you have created will also be available.

Summary card

Description

Total

The total number of booking requests made during the selected date range.

Active Pass Holder

The total number of active pass holders with a booking request during the selected date range.

Active Member

The total number of active members with a booking request during the selected date range.

Inactive Pass Holder

The total number of inactive pass holders with a booking request during the selected date range.

Inactive Member

The total number of inactive members with a booking request during the selected date range.

Prospect

The total number of prospects with a booking request during the selected date range.

Headings in the Booking Requests Report

Heading

Description

Date

The date and time that the booking has been requested for.

Info

The type of appointment or asset that was requested along with the staff member and location.

Client

The name, email, phone number, and profile image of the client who the booking is requested for.

Relevant details about this customer, such as pass status, waiver status, contract status, special notes, unpaid visits, and account balance will be noted here by small icons. Hover over any icon to learn more.

Requested

The date and time at which the booking request was submitted.

Status

The status of the booking request. The possible statuses are:

  • Request is accepted – The booking request has been accepted.

  • Denied – The booking request has been denied.

  • Requested – The booking has been requested and hasn’t yet been accepted or denied.

Note: Denying an appointment request won’t automatically refund the client. The client must be refunded manually.

Setup

Click the Action buttonto choose from the following options:

  • Cancel Service – Select this option to cancel the booking. This option appears only if the status of the booking request is Request is accepted.

  • Reschedule – Select this option to reschedule the booking request. This option appears only if the status of the booking request is Requested or Denied.

  • Resend Appointment Request – Select this option to resend the booking request notification email. This option appears only if the status of the booking request is Requested.

  • Accept – Click this option to accept the booking request. This option appears only if the status of the booking request is Requested.

  • Deny – Click this option to deny the booking request. This option appears only if the status of the booking request is Requested.

Advanced filters in the Booking Requests Report

Filter

Description

Client Status

Determines which clients to include in the report based on whether they currently have an active Purchase Option.

Client Groups

Determines which clients to include in the report based on their client group.

Locations

Determines which locations to include in the report.

Appointments

Determines which appointment types to include in the report.

Client Types

Determines which clients to include in the report based on their client type.

Staff

Determines which staff members to include in the report.

Bookable Assets

Determines which Book-a-Spot assets to include in the report.

Appointments Request State

Determines which appointment request statuses to include in this report.
