Understanding campaigns
Create custom templates and automated marketing campaigns to engage existing and prospective clients, helping you boost retention and conversion rates. There are two types of campaigns available: custom templates and automations.
Templates — Custom email, SMS, or push notification campaigns you create to send to clients manually.
Automations — Broader marketing campaigns that can include custom templates plus other types like Lead Capture, Class Announcement, and Event Announcement. Automations send marketing campaigns by emails, SMS, or push notifications automatically when specific triggers occur, such as a new class being added or a lead form being submitted.
After creating a campaign, use it to send messages manually or automatically via email, SMS, or push notification to an individual client or a group of clients. All campaigns can be edited before they are sent.
Key tips
Email templates have a character limit of 102,400 for all email templates. Avoid complex HTML, JavaScript, or loading scripts as not all mail receivers support them.
Send a test by clicking Send test [email or SMS] and enter the email or phone number. The test message displays placeholder information for certain variables, like [PasswordMessage] showing as 0123456789.
Add a video to an email template by embedding a video hosted on an external website through the visual editor.
Clients with News and Updates enabled will receive messages from custom email templates, including messages sent using QUICK Contact. For more information, see changing a client's notification settings.
Automation campaign types
Each campaign type below sends an email, SMS, or push notification to clients automatically, based on the trigger described.
Campaign type | Description |
Custom Templates | Create your own custom email, SMS, or push notification templates to send to clients manually or automatically with automations |
Lead Capture | Triggered after a client submits a Lead Capture Widget form. |
Class Announcement | Triggered when a new class is added to your schedule and is available for booking. |
Event Announcement | Triggered when a new event is added to your schedule and is available for booking. |
Purchase Campaign | Triggered after the purchase of a specific item in the online store. |
Client Retention | There are four different client retention campaigns you can create to communicate with at-risk clients who own an active Purchase Option.
These campaigns are only sent to the client who owns the Purchase Option, even if the Purchase Option is shared with a family member. If the Purchase Option is transferred to a different client, these campaigns are sent to the new owner of the Purchase Option.
The following campaigns are available for client retention:

Visit Campaign | Triggered on a specified number of hours, days, months, or years after a client has attended a specific service or used a specific asset at your business. |
Client Win-Back | Triggered when a client hasn’t booked or checked in to a service for a specified number of days, months, or years. This campaign will track all services that a client has participated in, as well as gym visits and drop-ins. |
Get started with campaigns
To create or modify a template:
Open the App Drawer
the click View All > Marketing > Templates.
Click Create template and select Email, SMS, or Push.
To modify an existing template, click Action
then select Edit.
Under Details, enter the Template name (required_ and enter a Description (Optional; if left blank, the marketing campaign's default description is used).
When creating an email template, select Build with simple editor to use the default editor or Build with visual editor for more advanced options. Switch to visual editor or simple editor at any time, but note that unsupported elements (like countdowns or social buttons) added in the visual editor is removed when switching back to the simple editor.
Edit the content of the template.
For Email and SMS, click Variables to display the list of available variables. To add a variable, click Copy to clipboard
next to a variable and paste it to the Content field.
Click Save & Close.
Create or modify an automation
To create or modify an automation:
Open the App Drawer
then click View All > Marketing > Automations.
Find the type of campaign you want to create or modify:
To create a new template, click Add template.
To modify an existing template, under Email, SMS, or Push, click Edit this template
.
Under Template Information, enter a Template name (required) and a Description (optional, if these fields are left blank, the campaign's name and description are used).
Under Send Rules, specify when the campaigns is sent out and choose to Send only to specific client types or Send only to specific client groups, then select the checkboxes for each client type or group that should receive the notification.
Configure any campaign-specific send rules as required before proceeding.
Confirm the format you're editing. Click Email, SMS, or Push at any time to change the format.
Edit the content of the template. Click Fill with default template to undo changes.
Email:
Under Compose email, click View sender’s information and configure the sender’s email information.
Under Email content, make changes to the template’s content using the default editor or click Visual Editor for more advanced options.
Click View email variables to display the list of available email variables. To add a variable, click Copy to clipboard next to a variable and paste it in the Email content field.
To activate the campaign, set Activate email to ON.
SMS:
Under SMS content, make changes to the template’s content using the text editor.
Click View SMS variables to display the list of available SMS variables. To add a variable, click Copy to clipboard next to a variable and paste it in the SMS content field.
To activate the campaign, set Activate SMS to ON.
Push:
Under Push notification content, make changes to the template’s content using the text editor.
To activate the campaign, set Activate push to ON.
Click Save. When send rules are modified, accept the changes in the popup.
Send a campaign
Campaign types under Automations are automatically sent to clients. To send a campaign using a template:
Open the App Drawer
then click View All > Marketing > Templates.
Find the template you want to send. Search or use filters on the list to easily find the template.
Click Action
and select Use template.
Select the Client groups. All clients within the group are automatically selected.
Select the Template.
Compose your message.
When sending an email:
Click View sender’s information and configure the sender’s email information.
If necessary, make changes to the template’s content using the default editor or click Visual Editor for more advanced options.
Under Settings,
Choose whether you want to Send to each profile for clients who share an [email address or phone number].
When sending an Email:
Select Send now or Schedule for a later date and specify the time and day the campaign will be sent.
Set Track in the Marketing Campaigns report to ON to record the status of the email in the Email Campaign report.
Enter the Campaign Name.
Click Send.
Duplicate a template
To Duplicate a template:
Open the App Drawer
then click View All > Marketing > Templates.
In the list of templates, find the existing template you want to duplicate. Search or use filters on the list to easily find the template.
Click Action
then select Duplicate.
A new template named Copy of [template’s name] is created and you are redirected to its edit page.
Make any required edits to the new copy of the template.
Click Save & Close.
Duplicate an automation
To duplicate an automation:
Open the App Drawer
then click View All > Marketing > Automations.
In the list of campaigns, find the campaign you want to duplicate. Search or use filters on the list to easily find the campaign you’re looking for.
Click Action
for the campaign you want to duplicate, then select Duplicate.
Make any required edits to the new copy of the campaign.
Click Save. When send rules are modified, accept the changes in the popup.
Archive a template
Archiving a template hides it from the templates list when its status is set to Active. To access archived templates again, clear the applied filters or filter the list by Archived, and unarchive the template.
Open the App Drawer
then click View All > Marketing > Templates.
In the list of templates, find the existing template you want to archive. Search or use filters on the list to easily find the template.
Click Action
then select Archive.
In the popup, click Archive. To view archived templates, filter the list by Status > Archived.
Remove a client from a campaign
Open the App Drawer
then click View All > Marketing > Campaigns.
Click on the name of the campaign you want to remove a client from. This will open a list of clients that the campaign will be sent to.
Find the client you would like to remove. If you know the client’s email address, you can enter it into the search bar to find them.
Under the Actions heading, click the Action button and click Remove Recipient.
On the confirmation popup, click Remove.
Delete a template
To delete a template:
Open the App Drawer
then click View All > Marketing > Templates.
In the list of templates, find the existing template you want to delete. Search or use filters on the list to easily find the template.
Click Action
then select Delete.
In the popup, click Delete.
Delete an automation
To delete an automation:
Open the App Drawer
then click View All > Marketing > Automations.
In the list of campaigns, find the existing automation you want to delete. Search or use filters on the list to easily find the campaign.
Click Edit this template
under Email, SMS, or Push.
Click Delete.
In the popup, click Delete.
Headings on the Templates page
Heading | Description |
Name | The title of the campaign. You can click the title to access the template. |
Type | The type of notification - Email, SMS, or Push notification. |
Created By | The staff who created the template. |
Modified By | The staff who last modified the template. |
Action | Access a menu that allows you to Use, Edit, Duplicate, Archive, or Delete the campaign. |
Filters on the Templates page
Filter the Templates page by:

Created By | Filter templates by the staff. |
