Filtering the schedule

You can filter the schedule by location, staff member, service type, or appointment status to display only the information you need. Additionally, you can save these customized views for future reference. Saved filter views can be modified, removed, set as favorites, set as the default view, and shared with other team members.

After filtering the schedule, you’ll see a summary of services displayed on the left-side menu based on your filter selections. These will only include results from your chosen service type(s). For example, if you filter the schedule by classes, the summary will only show results from all scheduled class sessions.

Key tips before we begin

  • Staff members can only filter and view services that they’re set to provide in their staff profile.

  • Filter views stay for five minutes after being applied, even if you log out. After five minutes, the schedule resets to the default view, unless you save the filter view.

  • Deactivated staff members aren’t automatically removed from filter views. To remove them, you need to either delete the saved filter view, or edit it and manually deselect them.

    • When viewing all staff members, use the Only Offering Services option to remove deactivated staff members.

To filter the schedule for a specific staff member’s appointments

  1. Click the App Drawer button , then click View All > Schedule.

  2. On the left side menu, click Staff.

  3. Click the All Staff checkbox, then uncheck it to deselect all staff members.

  4. Click the checkbox next to each staff member whose appointments you want to view.

  5. On the side menu, click Appointments.

  6. Click the checkbox next to each appointment type you want to view.

  7. Click APPLY FILTER.

To save a filter view

  1. Follow the steps in To filter the schedule.

  2. On the left side menu under MY VIEWS, click Save as New View.

  3. In the box, enter a name for the new filter view.

  4. To allow other staff members to use the filter view, set the Public option to ON.

  5. To set this filter view as your default view for the schedule, set the Default View option to ON.

  6. Click SAVE.

    • If you want to set this filter view as a favorite, hover over the filter view name and click the Favorite button . The filter view will be displayed at the top of your list of filter views.

To modify a saved filter view

  1. Click the App Drawer button , then click View All > Schedule.

  2. On the left side menu under MY VIEWS, find the filter view you want to modify.

  3. Modify the filter view as required:

    • To change the selected filters:

      1. Click the filter view to apply it to the schedule.

      2. In the side panel, modify the filter selections as required.

      3. Hover over the filter view name and click the Save button .

      4. In the confirmation popup, click OK.

    • To modify the filter name, public setting, or default view setting:

      1. Hover over the filter view name and click Edit button .

      2. Modify the name and settings as required.

      3. Click SAVE.

    • To remove the filter view as a favorite:

      1. Hover over the name of a favorited filter view and click the Favorite button again to unfavorite it.

To delete a saved filter view

  1. Click the App Drawer button , then click View All > Schedule.

  2. On the left side menu under MY VIEWS, find the filter view you want to delete.

  3. Hover over the filter view name and click the Remove button to the right of the filter view.

  4. In the confirmation popup, click OK. The filter view is deleted.

Understanding filter options on the schedule

Filter

Description

Locations

Determines which of your locations to display on the schedule.

  • Only available for multi-location businesses.

  • Only displays staff members’ available working hours for the selected locations.

  • The most recently added working hours for a staff member will always override previously set working hours, which will affect your multi-location filter accordingly. For more information, see Managing staff availability.

In-Person/Virtual

Determines whether in-person or virtual services appear on the schedule.

Staff Availability

Displays staff members that are available to be booked for a specific service.

  • Use the Scheduled services filter option to only display staff members booked for a scheduled service.

  • Use the Available filter option to only display staff members available to be booked for a service.

Staff

Determines which staff members to display on the schedule.

Service Types

Determines which service types to display on the schedule.

Appointments

Determines which appointment types to display on the schedule.

Appointment Status

Determines which appointments to display on the schedule based on their statuses. Filter options include:

  • All statuses – Selects all appointment status filter options.

  • Booked – Displays appointments that have been scheduled but have not yet occurred.

  • Checked-in – Displays appointments that have been checked in to by clients.

  • Early cancel – Displays appointments that were canceled by clients within the allowed cancellation time.

  • Late cancel – Displays appointments that were canceled by clients after the allowed cancellation time.

  • No show – Displays appointments that were missed by clients but were not canceled.

  • Status pending – Displays past appointments that haven’t had their attendance statuses updated.

  • Pending confirmation – Displays requested appointments pending confirmed by a staff member.

Classes

Determines which class types to display on the schedule.

Events

Determines which events to display on the schedule.

Assets

Determines which assets to display on the schedule.

Understanding the schedule filter summary

Heading

Description

Total Sessions

The total number of sessions that are currently displayed on the schedule.

Clients Booked

The total number of booked clients that are currently displayed on the schedule. This doesn’t include clients with an attendance status of No Show or Late Cancel.

Clients on Wait List

The total number of waitlisted clients that are currently displayed on the schedule.

Total Capacity

The total number of available spots for all sessions that are currently displayed on the schedule.

Capacity Utilization

The number of filled spots for all sessions that are currently displayed on the schedule.

  • This value is displayed as a percentage calculated by dividing the number of booked sessions by the total capacity of your scheduled service(s).

Average clients per day

The average number of clients attending your business each day based on the services that are currently displayed on the schedule.

  • This value won’t be displayed if you set your schedule to the Day view.
